Department: Office of the Registrar Program Assistant HV-CS-8402 To be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. Must be legally authorized to work in the United States without restrictions. RESIDENCY REQUIREMENTS: Candidates must have been legal residents of New York State for at least FOUR months immediately preceding the date of the test. Pursuant to subdivision 4a of Sec. 23 of the Civil Service Law, preference may be given to successful candidates who have been legal residents of the municipality to which the appointment is to be made for at least FOUR months preceding the date of the written test. This is a provisional appointment. Selected candidate will need to sit, pass and be eligible on the next available Rensselaer County Civil Service Exam for Program Assistant to be considered for permanent appointment. MINIMUM QUALIFICATIONS: Associate's Degree from a regionally accredited or New York State accredited college (OR) High School Diploma or possession of a High School Equivalency Diploma and two years of clerical experience in a position involving public contact or customer service functions in a non-retail setting (OR) An equivalent combination of training and experience as defined by the limits above. DUTIES AND/OR RESPONSIBILITIES: The Program Assistant reports to the Registrar or their designee and is responsible for the following duties: • Assist customers at the counter, on the telephone, and via email with questions regarding student status, policies and procedures, and other general office inquiries. • Assists with maintenance, accuracy and production of permanent student academic records, including data integrity. • Processes enrollment verifications, transcripts and all related Registrar Office activities. • Assists with registration-related activities, including, but not limited to the following special group populations: high school programs, hospital programs, other off-campus groups as necessary. • Assists with the preparation, scanning, indexing, and retrieval of documents as related to the College’s electronic document storage system. • Assists students and campus community with navigating and understanding various technological systems and suggests improvements based on feedback.• Processes student course drops & withdrawals. • Assists with transfer credit processing. • Assists with technical functions, including testing of the transcript software, imaging system and Banner, both upgrade testing and troubleshooting. • Assists other offices within the Division of Student Affairs on an as-needed basis. • Performs other related duties as assigned. This is a full-time 12-month, 40-hour work week position with an hourly rate of $24.5049. Start date is immediate.
