Job Summary: The Contract Coordinator coordinates and administers key components of the competitive bidding process for University capital construction projects. Facilitates pre-bid activities and bid openings. Coordinates schedules, submissions, documentation, invitations, and communications. Verifies bidder eligibility and licensing status, prepares bid tabulations, and assists in developing bid proposal forms. Reviews bid submissions and supporting documentation to determine compliance, identify irregularities or potential issues requiring resolution, and recommend appropriate actions. Coordinates post-award contract administration. Maintains documentation, reporting, and tracking mechanisms that promote accuracy, accountability, consistency, and audit readiness. Provides guidance to internal and external stakeholders on procedural requirements. Resolves routine and moderately complex issues that arise during project execution.

Additional Department Summary: Supports the University’s capital construction contracting function through coordinated administration of competitive bidding, contractual documentation, regulatory and institutional compliance processes, electronic workflows, stakeholder communications, and departmental information systems. Serves as a procedural and operational resource to internal Project Managers and external professional partners. Maintains continuity across multiple stages of the bidding and contracting lifecycle. Consistently applies specialized knowledge of University procedures, public works contracting requirements, documentation standards, and departmental systems.

Required Minimum Qualifications: Bachelor's degree or higher and some experience.

Skills and Knowledge: Ability to utilize judgment. Strong attention to detail and accuracy. Strong problem solving skills. Ability to communicate professionally, both verbally and in writing.
