From its inception, the Olin Library has been an integral part of the instructional, intellectual, and cultural life of Rollins College ... And now you can be part of it to! The Rollins College Olin Library is seeking a service-oriented Library Events & Office Coordinator to join their team!

This position supports the effective operation of Olin Library through the coordination of events and programming, administrative services, and building operations. The role leads the planning, promotion, implementation, and assessment of library programs and special events, including Olin After Dark, while supervising and training student employees and assisting with programming budgets and expenditures. The position also provides administrative support across Olin Library, Student Media, and the Tutoring & Writing Center, including purchasing, invoice processing, supplies, contracts, furniture, and equipment, and serves as a primary liaison with Accounts Payable, Business Services, and Purchasing. Additionally, the position helps ensure a welcoming, functional, and well-maintained library environment by coordinating facility maintenance and work orders, monitoring building needs, and managing the scheduling and use of library meeting and event spaces.

  • Event Coordination:
    • Coordinates operational programs in support of Olin Library objectives; leads and participates in the planning, development, and coordination of programs and/or special events (e.g., Olin After Dark weekly programming).
    • Participates in the promotion, explanation, and interpretation of public outreach objectives and programs; assists in the development of appropriate communications and manages a proactive approach to information dissemination to the campus and/or the public.
    • Summarizes and assembles event reports and trend analysis, and information releases.
    • Assists in the preparation of the events and programming budget and documents; tracks expenditures.
    • Supervises and trains events and programming student employees.
    • Coordinates the day-to-day operations of Olin Library events and programming.
    • Assists and maintains up-to-date contacts for efficient event service to users.
  • Office Coordination:
    • Provides general administrative support for Olin Library.
    • Provides support for invoice processing and serving as Olin's primary contact with Rollins' Accounts Payable.
    • Requisitions and monitors all supplies, contracts services, furniture, and equipment and serveing as Olin's primary contact with Rollins' Business Services and Purchasing.

  • Building Coordination:
    • Monitors the Olin Library building facility; ensuring maintenance and repair of the interior and exterior of the building and all furniture and decoration; submits and monitors all facilities work orders.
    • Coordinates and schedules activities in Library building spaces.
Minimum
Qualifications & Education:
  • High school education is required.
  • Requires two to three years of job‑related experience.


Preferred Qualifications:

  • Associates degree or higher.
  • Knowledge of College environment, departments, procedures, and policies.


Knowledge, Skills, & Abilities:

  • Ability to work independently and in teams to initiate events and projects and see them through to completion with minimal supervision.
  • Proficient in use of Microsoft applications.
  • Thorough knowledge of business English, spelling, and grammar.
  • Knowledge and practice of organizational and time management skills.
  • Ability to use tact and good judgement in resolving work problems and dealing with the public, students, faculty, and staff.
  • Oral and writing skills sufficient to maintain and update files, logs, reports, and correspondence.
  • Math computational skills sufficient to order supplies, process invoices, etc.


Work Schedule:

  • This is a full-time appointment, scheduled to work 37.5 hours per week, 12 months per year, for a total of up to 1950 hours annually.
  • Schedule will be discussed during the interview as evenings will be required for this role.
  • Flexible schedules or overtime may be required to meet the demands of the academic calendars


Work Environment:

  • Campus-based, in-person customer service role in an office environment.
  • Regular use of a computer and databases.
