  • POSITION SUMMARY

    Georgia State University seeks an experienced Process Transformation and Change Enablement Lead to improve, standardize, document, and support the adoption of financial and administrative business processes across the university. 

    This position will lead business process discovery, process mapping, future-state process design, policy and procedure development, organizational change management, readiness planning, and training and performance support. The Lead will work closely with Finance and Administration leaders, functional subject-matter experts, colleges, schools, administrative units, technology teams, and other university stakeholders to simplify transactional processes, clarify roles and responsibilities, strengthen internal controls, improve the customer experience and promote consistent institutional practices.

    The position will initially play a significant role in Georgia State University’s preparation for the University System of Georgia’s Workday implementation. The Lead will translate systemwide Workday process designs, change impacts, and program requirements into practical GSU-specific processes, policies, procedures, readiness activities, and employee support materials. Beyond the Workday implementation, the position will support an ongoing portfolio of process-transformation and continuous-improvement initiatives across Finance and Administration.

    The successful candidate will be well versed in organizational change management, Lean Six Sigma or comparable process-improvement methodologies, business process analysis, policy and procedure governance, stakeholder engagement, facilitation, adult learning, and performance-support development. This is a senior individual-contributor role that requires the ability to lead complex initiatives through collaboration and influence.

    DUTIES AND RESPONSIBILITIES INCLUDE:

    ·        Drive process transformation and continuous improvement initiatives for financial and administrative business processes. Review current processes, identify opportunities for simplification, standardization, automation, improved controls, enhanced customer service, and measurable operational improvement; apply Lean, Six Sigma, root-cause analysis, and other continuous-improvement methods to evaluate bottlenecks, unnecessary steps, excessive approvals, manual workarounds, unclear handoffs, recurring errors, control gaps, and opportunities for automation or self-service.

    ·        Plan, facilitate, document, and validate business process discovery, mapping, and future-state design activities with subject-matter experts, business leaders, transaction processors, managers, end users, technology teams, internal-control stakeholders, and affected business units. Develop current-state and future-state process maps, swim lane diagrams, workflows, decision trees, process narratives, role-to-process matrices, RACI matrices, and supporting documentation.

    ·        Manage the development, revision, standardization, implementation, governance, and ongoing maintenance of financial and administrative policies, procedures, standard operating procedures, desk procedures, and work instructions. Ensure alignment with applicable university, USG, Board of Regents, state, federal, grant, contractual, audit, and internal-control requirements; coordinate stakeholder review and approval.

    ·        Lead GSU-specific organizational change management activities associated with new or redesigned processes, systems, policies, roles, responsibilities, and ways of working. Conduct stakeholder analyses, develop engagement strategies, identify adoption barriers, support leadership alignment, prepare managers and supervisors, facilitate workshops and stakeholder meetings, and align local change efforts with USG Workday milestones.

    ·        Develop readiness and adoption plans, criteria, assessment tools, dashboards, and reporting mechanisms for affected colleges, schools, departments, shared-service units, and central administrative functions. Identify adoption risks, develop mitigation plans, coordinate readiness activities, collect stakeholder feedback, monitor adoption and proficiency, prepare manager readiness materials, and provide leadership with evidence-based recommendations.

    ·        Conduct training-needs analyses and translate approved process documentation into practical, role-based training and performance-support materials, including job aids, work instructions, quick-reference guides, FAQs, process overviews, manager and leader toolkits, decision trees, workflow guides, checklists, scenario-based exercises, knowledge articles, and train-the-trainer materials. Validate material accuracy with subject-matter experts and evaluate effectiveness using feedback, support volumes, error trends, and demonstrated proficiency.

    ·        Support go-live, hypercare, post-go-live reinforcement, project leadership, and stakeholder partnership activities. Assist with transition planning, deployment preparation, cutover readiness, issue identification, triage, escalation, documentation updates, postimplementation reviews, continuous-improvement recommendations, status reporting, risk and decision tracking, and transition from project-based implementation activities to sustainable operational ownership.

    PREFERRED HIRING QUALIFICATIONS: 

    ·        Master’s degree in business administration, organizational development, finance, accounting, public administration, industrial engineering, education, information systems, or a related field.

    ·        Experience supporting a Workday Financial Management, Workday HCM, or Workday Payroll implementation.

    ·        Experience working in higher education, government, the public sector, or another large, decentralized, and regulated organization.

    ·        Prosci Change Management Certification, Certified Change Management

    ·        Professional certification, or comparable organizational change management credential.

    ·        Lean Six Sigma Green Belt, Black Belt, or comparable process-improvement certification.

    ·        Project Management Professional certification or comparable project-management credential.

    ·        Experience supporting finance, procurement, accounts payable, payroll, budgeting, accounting, travel and expense, human resources, research administration, or shared-services transformations.

    ·        Experience with enterprise systems such as Workday, Oracle, SAP, PeopleSoft, Banner, or comparable platforms.

    ·        Working knowledge of financial internal controls, segregation of duties, audit requirements, and compliance considerations.

    ·        Experience creating process documentation using Microsoft Visio, Lucidchart, Miro, or comparable process-mapping tools.

    ·        Experience using data to measure process performance, employee proficiency, service quality, adoption, and benefits realization.

    ·        Experience developing training materials using learning management systems, digital adoption platforms, content-authoring tools, or knowledge-management platforms.

    ·        Experience establishing policy governance, document-control, or knowledge management frameworks.
