JOB DESCRIPTION:
The Student Records Service Representative provides administrative and customer service support for the Office of the Registrar, including student records management, registration assistance, enrollment verification, transcript processing, and graduation services. This position is responsible for maintaining accurate and confidential academic records, responding to student and departmental inquiries, and ensuring compliance with university policies, Southern University System regulations, and FERPA requirements. The representative works collaboratively with students, faculty, staff, and university departments to support efficient registrar operations and provide timely, professional service.
JOB RESPONSIBILITIES:
- Maintain and update official student academic records in Banner, ensuring accuracy, completeness, and compliance with university policies, Southern University System regulations, and FERPA requirements.
Process student enrollment transactions, including course additions, drops, withdrawals, reinstatements, and curriculum updates in accordance with academic calendars and institutional policies.
Review, process, and verify official transcript requests, enrollment certifications, degree verifications, and other academic records requests.

- Assist with graduation processing, including reviewing applications, conducting degree audits, and coordinating with academic departments to verify degree requirements.
- Support grade processing activities, including posting grades, processing grade changes, resolving discrepancies, and ensuring compliance with established deadlines.
- Ensure compliance with university policies, Southern University System requirements, and applicable state and federal regulations related to student records and enrollment reporting.
- Assist with maintaining student information systems through data validation, record updates, and coordination with Information Technology and institutional reporting departments.
- Respond to records-related inquiries from Financial Aid, Bursar, Academic Affairs, Admissions, Athletics, Veterans Affairs, and other university departments.
- Perform other duties as assigned to support the daily operations of the Office of the Registrar, peak processing periods, and special projects.
MINIMUM QUALIFICATIONS:
- High school diploma or GED required.
- Two (2) to three (3) years of relevant administrative or customer service experience.
PREFERRED QUALIFICATIONS:
Associate degree from an accredited college or university.
- Two (2) to three (3) years of administrative support experience in a higher education setting.
- Experience working with student records, registration processes, or registrar-related services.
- Familiarity with Banner or similar student information systems.
- Knowledge of FERPA regulations and university policies related to student records and confidentiality.
