Responsibilities and Duties
  • Planning, coordinating and conducting the biennial physical inventory / audit cycle for capital and sensitive assets.

  • Identifying new capital and sensitive property acquisitions typically through review of invoices, departmental requests and Procard expenses. Tagging and recording new capital and sensitive property acquisitions in a timely manner, updating asset records for transfers, disposals and corrections and ensuring compliance with institutional and USM regulations.

  • Reviewing month-end activity to ensure accuracy prior to closing of the fixed asset Stratus module.

  • Maintaining departmental policies and procedures manual (web page) and internal procedures manuals.

  • Administering property records training semiannually with inventory coordinators. 

  • Performing other related duties as assigned or required.



Qualifications and Skills

Minimum qualifications:

  • Bachelors degree.

  • Two years experience in administrative staff work.

Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

  • Skilled in planning, coordinating and completing multiple tasks timely and accurately, to include resolving any discrepancies successfully.

  • Ability to communicate effectively both orally and in writing, and to establish and maintain effective work relationships.

  • Ability to interpret and apply departmental policies and procedures, operate manual and automated office equipment such as personal computers and related software.

  • Ability to perform mathematical computations, compose correspondence and prepare reports.

  • Proficiency in Microsoft Office (Excel, Word).

  • Self motivated and with a willingness to learn.

Preferred Qualifications:

  • Experience using enterprise wide systems including Stratus and Assetworks.

  • Knowledge of best practices in inventory management and property records operation.
