Position SummaryThe CRM Systems Specialist serves as the College’s CRM technical and functional expert, transforming business needs into effective systems, workflows, and data-driven solutions. Leads CRM administration, optimization, integrations, reporting, and user enablement to streamline operations, strengthen constituent engagement, and improve the student and employee experience.
ESSENTIAL DUTIES AND RESPONSIBILITIESAdministers and optimizes the CRM platform, including configuration, security, workflows, automation, user access, system updates, documentation, and vendor coordination.Partners with College departments to analyze business needs and design CRM solutions that improve workflows, operational efficiency, constituent engagement, and system adoption.Coordinates CRM integrations and data flows with the SIS/ERP and other enterprise platforms, working with technical staff to support testing, troubleshooting, and data integrity.Develops and maintains CRM reports, dashboards, analytics, forms, campaigns, communication templates, and automated processes.Maintains CRM data quality and supports institutional standards for data governance, security, privacy, access, and compliance.Serves as the primary CRM resource for user support, troubleshooting, training, onboarding, documentation, and communication of system enhancements.Participates in cross-functional initiatives and institutional planning related to CRM strategy, system improvements, technology investments, and continuous improvement.Performs other duties as assigned.
REQUIRED QUALIFICATIONSBachelor’s degree in Business Administration, Information Technology, Computer Information Systems, Higher Education Administration, or a related field. A combination of related education and experience may be considered in lieu of the degree.Minimum of two (2) years of experience administering, configuring, or supporting a CRM platform, or working in business systems analysis, enterprise application support, or a closely related roleExperience gathering business requirements and translating them into system configurations, workflows, or process improvementsExperience developing and delivering end-user training, instructional documentation, or technology support resourcesExperience working with cross-functional teams and non-technical stakeholders to deliver technology-based solutions
PREFERRED QUALIFICATIONSExperience supporting or coordinating system integrations, data exchanges, or API-based connections between enterprise platformsExperience in higher education, enrollment management, student services, advising, or a related institutional environmentExperience with reporting tools, dashboards, or platform-native analyticsBilingual English/Spanish
PREFERRED TECHNICAL BACKGROUNDExperience administering or supporting Slate by Technolutions or a CRM in higher education designed to support recruitment, admissions, enrollment, advising, retention, alumni relations, development, or other constituent-engagement functions.Familiarity with Ellucian/Colleague or a higher education ERP/SIS and the data structures supporting student records, enrollment, financial aid, business operations, and institutional reporting.Experience with enterprise system integrations, including APIs, file-based data exchanges, middleware, ETL processes, and other automated data flows.Experience with CRM-native reporting, dashboards, campaign management, communication automation, and constituent-engagement tools.Familiarity with SQL or other data-query tools used for data validation, troubleshooting, and reporting support.
KNOWLEDGE, SKILLS, AND ABILITIESStrong knowledge of CRM administration, configuration, workflow design, data management, reporting, and system integration concepts. Ability to analyze complex business processes, translate requirements into effective technical solutions, troubleshoot system issues, and communicate technical concepts to non-technical audiences. Strong training, documentation, organizational, problem-solving, and interpersonal skills with the ability to manage multiple priorities, collaborate across departments, exercise sound judgment, and protect confidential institutional data.
