The School of Law's Operations Manager for Development and Alumni Relations, reporting to the Director of Annual Giving & Alumni Relations, is responsible for managing Law Advancement's annual giving and alumni relations programming, events, and operations. As the data liaison and operations specialist on the team, the Operations Manager also produces Law Advancement reports, is skilled in fundraising software, and manages team administrative needs. The Operations Manager will be a self-starter who is forward-thinking, able to manage multiple priorities, and navigate uncertainty as new programs are built and existing are evolving and expanding.
The Manager is collaborative as he/she works in concert with other members of the Law School Advancement office, the Dean, the Law School's administrative team (career services, student affairs, admissions, communications), and the central Advancement Division.
JOB DUTIES/RESPONSIBILITIES:
Develop, manage, and implement Annual Giving & Alumni Relations programming under strategic oversight of the Director of Annual Giving & Alumni Relations. (70%):
- Develop, manage, and implement year-round annual giving and alumni relations communications (print, digital, phone), including participation in the University's annual Giving Day.
- Manage and systematically execute gift tracking, and develop and manage subsequent acknowledgment and stewardship processes and communications.
- In partnership with the Law Communications & Events team, maintain primary responsibility for implementing Law Advancement events, including managing invitations and RSVPs, coordinating day-of staffing and logistics, preparing event briefing materials, and preparing and sending pre- and post-event communications.
- Design and implement a student philanthropy program to build a culture of philanthropy among the student body.
Serve as the primary law alumni and donor data liaison and operations specialist on the team. (25%)
- Track and manage data in donor database (Blackbaud CRM), including but not limited to: pulling lists and reports; building queries and exports; and submitting data to University partners for database entry.
- Prepare and send all mass emails and event registration pages (via Blackbaud Internet Solutions) to law alumni, including as needed for external law departments.
- Proactively monitor and analyze performance of development and alumni relations print and electronic communications, including segmenting and tracking mailings, tracking open rates for emails, etc.
- Monitor and report to senior management on law school budgets, allocate transactions to account codes, and submits monthly credit card reconciliation statements.
- Serve as first point of contact for Law Advancement inquiries via law alumni inbox and phone.
- Manage team administrative needs, including but not limited to managing large print jobs, designing event materials, coordinating mailings, etc.
- Manage a part-time student employee who handles administrative tasks such as stuffing envelopes, sending mail, etc.
Serve as a collaborative member and thought partner on the Law Advancement team (5%):
- Attend and be an active participant at regularly scheduled Law and University Advancement meetings and events.
- Be a thought partner, providing strategic input on the Law Advancement team's various initiatives (alumni relations, annual & leadership giving, prospect management, and donor relations) and how they may be leveraged to support both annual giving and alumni relations efforts.
QUALIFICATIONS:
- Ability to exercise good judgment, demonstrate an understanding of the ethical principles associated with working in development, and to use discretion in interactions with members of the UR community.
- Excellent interpersonal and leadership skills, along with the ability to work with diverse internal and external constituencies including donors and volunteers.
- Proven ability to work effectively with honesty and transparency in a collaborative, multi-level team environment with a high degree of collegiality.
- Strong written communication, organizational, and analytical skills.
- Ability to manage multiple tasks and set priorities in a fast-paced environment.
- Skill in the use of Microsoft Office and fundraising software applications, including database management.
- Must have a valid Driver's License.
EDUCATION & EXPERIENCE:
- Bachelor's Degree required.
- Minimum of two to four years of experience managing projects and/or events is required.
- Requires a valid driver's license and a motor vehicle records check
- Experience in development or alumni relations is strongly preferred.
- Computer proficiency is required, and experience with Blackbaud CRM, or other donor database is strongly preferred.
- A high degree of personal integrity is essential.
WORK HOURS: 38.75 hours per week. Monday through Friday, 8:30 am to 5 pm; occasional travel, some evenings and weeks
SALARY STRUCTURE:
Pay Grade 5 (Hiring Range $24.52 to $31.38 per hour)
