Position Summary

The School of Nursing is seeking an Operations Coordinator to provide comprehensive administrative and operational support across its San Diego, Imperial Valley, and Chula Vista locations. This position plays a central role in keeping the School's academic and administrative operations running effectively, with responsibilities spanning faculty appointments and recruitment, academic scheduling, budgets, accreditation, faculty workload, and personnel processes.

Working closely with School leadership and providing lead direction to administrative and technical staff, the Operations Coordinator manages multiple high-priority processes, interprets university policies and procedures, and helps resolve day-to-day operational issues. This is a highly collaborative role for someone who can see the bigger picture while maintaining the accuracy, organization, and follow-through required in a complex academic environment.

Key Responsibilities

  • School Operations: Coordinate day-to-day administrative and operational functions across the School of Nursing's multiple locations, serving as a key resource to faculty, staff, leadership, the Dean's Office, and campus partners.
  • Academic Scheduling & Workload: Coordinate class scheduling and faculty workload reporting, monitor enrollment and FTES activity, and work with faculty and staff to ensure instructional information is accurate and aligned with program needs.
  • Faculty Appointments & Recruitment: Coordinate faculty appointments, lecturer personnel records, leaves and related personnel transactions, and support tenure-track faculty recruitment processes from planning and documentation through candidate interview logistics.
  • Budget & Fiscal Coordination: Oversee operational and instructional budget tracking, maintain accurate fiscal records, reconcile Research Foundation accounts, monitor student assistant funding, and provide guidance on purchasing, travel, and appropriate use of funds.
  • Faculty Evaluation & Personnel Processes: Coordinate administrative aspects of retention, tenure and promotion (RTP), post-tenure review, periodic evaluations, and cumulative reviews while maintaining timelines, documentation, and compliance with established requirements.
  • Accreditation & Compliance Support: Coordinate records, reporting, and documentation for accreditation reviews, site visits, and required reporting to organizations such as the Board of Registered Nursing and the American Association of Colleges of Nursing.
  • Staff & Administrative Coordination: Provide lead work direction and operational guidance to administrative and technical staff, support consistent application of School and university procedures, and identify opportunities to improve administrative workflows.

    Position Information

    • Full-time, benefits eligible, permanent/probationary position.
    • Position is designated non-exempt under FLSA and is eligible for overtime compensation.
    • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
    • This position is eligible for telecommuting up to one day per week, following a training period during which on-site presence is required.

    Department Summary

    The School of Nursing is part of the SDSU College of Health and Human Services. It is one of six schools, the School of Nursing, Public Health, Social Work, Exercise and Nutritional Sciences, Physical Therapy, and the Speech, Language, and Hearing Sciences. The School of Nursing has both undergraduate and graduate degree programs and trains future nurses in conjunction with a wide variety of community healthcare agencies who provide student placement for educational experiences and training purposes. The directorship for the School of Nursing includes the San Diego, Imperial Valley and Chula Vista campuses. The College of Health and Human Services is dedicated to preparing students to address the health and human service challenges of the 21st century.     Education and Experience

    Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

    These entry qualifications would normally be obtained through a high school program, technical/ vocational program, or their equivalents combined with several years of related office work experience.

    Key Qualifications

    • Experience coordinating complex administrative functions and providing lead work direction.
    • Experience working in a large, complex organization such as higher education, healthcare, government, military, or a public agency.
    • Experience coordinating, tracking, and overseeing complex budgets, including budget planning and fiscal monitoring.
    • Knowledge of healthcare environments.
    • Experience with faculty appointments and reappointment, tenure, and promotion (RTP) processes is preferred.
    • Experience supporting an accredited academic program is preferred.
    • Experience with purchasing, travel, and reimbursement processes is preferred.

    Compensation:
    Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department's budget and equity guidelines.

  • Initial step placement is not expected to exceed Step 1 ($4,367 per month).
  • Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
  • CSU Classification Salary Range: $4,367 - $6,362 per month (Step 1 – Step 20)
  • Future increases, including step advancements, are subject to contract negotiations.
