Educational and Experience Requirement:Associates Degree in related field. Three years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position:Performs advanced administrative assistant duties for the department of Physician Assistant Studies and Athletic Training.
Primary Responsibilities:Performs advanced administrative support duties for the Department and Master of Physician Assistant Studies (MPAS) program in support of the Director of Admissions, supporting adherence to institutional policies, graduate admissions requirements, and applicable accreditation standards. Serves as primary point of contact for the prospective and admitted MPAS/AT students, providing accurate and timely guidance regarding admission requirements, application procedures, guidelines on prerequisite coursework, deadlines and program policies. Maintains accurate applicant records within the admissions management system and coordinates the admissions process, including application review, faculty participation, interview scheduling, admissions communications, and onboarding activities for admitted students. Supports student recruitment and outreach efforts through open houses, information sessions, recruitment fairs, presentations, and other program events. Prepares and maintains admissions reports, monitors applicant data, and assists with data collection. Collaborates with faculty, staff, and university departments to facilitate an efficient, organized, compliant and student-centered admission process designed to attract and enroll highly qualified applicants to the MPAS program. Provides departmental or university information to students, departments and staff. Schedules appointments and activities. Compiles, tracks, and reviews data and reports. Attends meetings and takes notes. Prepares, reviews, revises and distributes documents and correspondence. Orders and maintains supply inventory. Handles p-card purchases and monitors expenses. Provides accurate and confidential student records in accordance with FERPA guidelines, University policy, and program requirements. Assists with tracking student progression, and other student compliance documentation. Supports maintenance of the student handbook, clinical education handbook, program forms and accreditation-related documentation for ARC-PA reporting, institutional effectiveness, and continuous program improvement. Provides administrative support for faculty and clinical education activities, including classroom and instructional supplies, clinical site documentation, program events such as White Coat, and communication with clinical partners. Maintains department records, memberships, and subscriptions and warranties for equipment. Assists with website updates and coordinates with Information technology. Serves as professional contact for students, faculty, staff, clinical partners, and university departments. Performs other related duties as assigned.
Other Specifications:Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software. Must be able to apply policies and procedures and solve routine problems of a repetitive nature.
