Job Description SummaryThe Facilities and Campus Services Business Operations Analyst drives operational and strategic decision-making across Facilities Real Estate and Planning by transforming complex enterprise data into actionable reports, BI dashboards, and visualization tools. Operating with high autonomy, the position leads data governance, process automation, and performance tracking across financial, asset, maintenance, and project domains. Through close collaboration with university leadership and departmental partners, this role optimizes data accuracy, accessibility, and organizational efficiency.Job Description*This position is not eligible for sponsorship of non-immigrant or immigrant visa status through Wake Forest University. Essential Functions:
- Develops, maintains, and enhances analytical solutions. Creates dynamic operational dashboards, scorecards, reports, and visual analytics using Power BI, Power Query, DAX, SQL, and Excel to track key performance indicators (KPIs), quality assurance metrics, and daily operational progress.
- Integrates multi-system enterprise data. Queries, retrieves, and synthesizes data across enterprise platforms, including Snowflake, Workday, Computerized Maintenance Management Systems (CMMS), and Google Workspace to evaluate operational, financial, asset, maintenance, and project performance.
- Translates complex findings, converting quantitative and qualitative data into clear, actionable visual insights and decision-support tools for leadership, technical teams, and university partners.
- Manages core departmental reports. Oversees the development, publication, and maintenance of recurring executive deliverables, including the Monthly Business Report across FR&P, the Quarterly Report to the V.P. (summarizing budget, staffing, finances, and projects), the Summer Projects Report, and the departmental quarterly newsletter.
- Responsible for generating infographics, visuals, and descriptions of data for annual reports and other departmental publication needs.
- Maintains visual communication channels, real-time data feeds, and content updates for digital department monitors across facilities.
- Ensures data integrity and reconciliation. Conducts data validation, reconciliation, and quality assurance across multiple systems Asset Essentials, to verify accurate customer billing and work order activity tracking.
- Automates reporting business processes. Builds and optimizes automated workflows using tools like Microsoft Power Automate to streamline administrative follow-ups, communication, and routine reporting routines.
- Maintains reporting technical documentation. Creates and updates comprehensive documentation for dashboard models, data pipelines, automated workflows, and reporting procedures to support business continuity and knowledge transfer.
- Fosters cross-departmental alignment by partnering with FR&P leadership and university stakeholders to identify reporting needs, evaluate analyses conducted by other units, and maximize collaborative insights across functional boundaries.
- Conducts industry research and cost tracking by performing benchmarking and in-depth analytical research on higher education operations; tracks costs and longitudinal cost-savings trends to highlight risks and efficiency opportunities.
- Evaluates operational workflows, reviews business processes, technology integration, and data practices to identify continuous improvement opportunities aligned with industry best practices.
- Manages multiple concurrent initiatives, prioritizes and executes complex administrative, analytical, and business improvement projects simultaneously, adapting quickly to time-sensitive issues and changing organizational priorities.
- Maintains strict data privacy. Safeguards sensitive personnel, financial, departmental, and university data in compliance with confidentiality standards.
- Performs related duties: Executes special projects and other administrative or analytical tasks as assigned.
Required Education, Knowledge, Skills, Abilities:
- Bachelor’s degree in Business Administration, Information Systems, Data Analytics, Facilities Management, or a related field with 1–3 years of relevant business analysis experience; or an equivalent combination of education, training, and experience.
- Advanced proficiency using data query and business intelligence software (e.g., Power BI, Power Query, DAX, SQL, Tableau) to extract, validate, transform, and model complex datasets into actionable reports and analytics.
- Hands-on experience integrating and managing data across enterprise management platforms (e.g., Workday, CMMS/Asset Essentials, Snowflake).
- Advanced skills in Microsoft 365, Google Workspace, and visual communication platforms (e.g., Adobe Creative Cloud, Visme) to design executive-level presentations, dashboards, and infographics.
- Proactive problem-solver who anticipates departmental needs, plans ahead, and executes strategic solutions in a timely manner.
- Proven ability to manage project lifecycles, prioritize competing workflows, and consistently meet deadlines within a dynamic, fast-paced environment.
- Demonstrates strong judgment, high versatility, and the ability to work independently while handling sensitive departmental and institutional data with strict confidentiality.
- Strong written and verbal communication skills, with a demonstrated ability to synthesize complex quantitative data into clear narrative insights for diverse campus partners and executive leadership.
- Ability to leverage the newest software technologies to create dynamic presentations and infographics.
- Ability to work independently with attention to detail and sound judgment.
Preferred Education, Knowledge, Skills, Abilities:
- Strong familiarity with facilities management, real estate planning, asset maintenance, and operational workflows within higher education or a similarly complex institutional environment.
- Applied knowledge of end-to-end project management principles, including research, industry benchmarking, best-practice integration, workflow planning, execution, and risk monitoring.
- Exposure to process mapping, continuous improvement practices, and automated workflow platforms (e.g., Microsoft Power Automate) to streamline operational procedures.
- Understanding of university administrative structures, cross-functional partner dynamics, and institutional reporting expectations.
