Job Responsibilities

Trident Technical College's Human Resources Department is seeking a Part-Time Administrative Specialist. This position provides administrative and clerical support to Human Resources operations and serves as an excellent opportunity for individuals interested in gaining experience in human resources, recruitment, onboarding, and records management.
Primary duties include, but are not limited to:
  • Scan, upload, index, and organize employee documents into electronic and paper personnel files.
  • Maintain personnel records by ensuring required documentation is complete, accurate, and properly filed.
  • Retrieve, distribute, and archive files in accordance with department procedures.
  • Perform routine audits of personnel files and records for accuracy and completeness.
  • Answer and route incoming phone calls, emails, and visitor inquiries to appropriate HR staff.
  • Assist with scheduling interviews, meetings, employee orientations, and training sessions.
  • Prepare onboarding packets and assist with new hire documentation and processing.
  • Enter and update employee information in HR systems, databases, and tracking spreadsheets.
  • Support recruitment activities by assisting with job postings, applicant tracking, interview scheduling, and candidate communications.
  • Monitor shared HR mailboxes and assist with responding to routine inquiries.
  • Prepare correspondence, reports, and other administrative documents.
  • Assist with employment verification requests and records requests.
  • Maintain supplies, forms, and materials used by Human Resources.
  • Follow confidentiality, records retention, and data security requirements.
  • Lift, move, and organize boxes, files, and records as needed.
  • Provide general administrative support to Human Resources staff and assist with special projects.
  • Perform other duties as assigned.

  • Minimum and Additional Requirements

    The part-time positions require a high school diploma and related administrative experience. Preferred candidates will have related degree and related work experience. The hourly rate for these positions is $20 per hour.

    Preferred Qualifications

    The ideal candidate will possess strong office and customer service skills, including the ability to operate scanners, copiers, and document management systems.

    Preferred qualifications include:

  • Associate degree in Human Resources, Business Administration, Office Administration, or a related field.
  • Administrative support experience in a Human Resources, higher education, or professional office environment.
  • Experience with electronic filing and document management systems.
  • Experience maintaining confidential personnel or employee records.
  • Knowledge of Microsoft Office applications, including Outlook, Word, and Excel.
  • Familiarity with Ellucian Colleague or other Human Resources Information Systems (HRIS).
  • Demonstrated ability to manage multiple priorities with a high degree of accuracy and attention to detail.
