HR OPERATIONS SUPPORT SPECIALIST

Coastal Carolina University seeks applications for the position of HR Operations Support Specialist for the Office of Human Resources. Serves as a key operational support position within the Office of Human Resources by coordinating front desk operations, onboarding activities, employment documentation, records administration, mandatory training compliance monitoring, and other administrative functions that support efficient Human Resources operations and customer service.

Duties include, but are not limited to:

• Serves as the primary point of contact for the Office of Human Resources for internal and external constituents. Responds to phone calls, emails, and walk-in inquiries, determines appropriate routing, resolves routine issues, and provides information regarding HR services, programs, and procedures. Monitors, prioritizes, responds to, and routes inquiries received through the HR shared email account. Responds to and routes HR inquiries to appropriate staff members. Provides support and guidance to interview candidates and visitors regarding HR processes and procedures. Assists with departmental communications and supports front desk operations to ensure exceptional customer service and effective office operations.

• Maintains and updates employee demographic data into HRIS and other required HR systems, while supporting the accuracy, confidentiality, and integrity of employee information and Human Resources documentation. Serves as the primary coordinator for employment verification requests. Assists with data review, as needed.

• Coordinates and monitors mandatory training compliance requirements for university employees. Maintains records, conducts follow-up communications, monitors completion requirements, prepares reports, and supports departments and employees in meeting required training obligations.

• Provides administrative support for HR operations, including, but not limited to, departmental budget and expenditure tracking, fund reallocations, budget preparation, procurement card transactions, purchase orders, and travel coordination. Oversees office supply/equipment management, asset inventory tracking, conference room scheduling, work order coordination, holiday schedule administration and communication, and other departmental operational functions. Coordinates operational scheduling activities and maintains departmental resources necessary to support efficient HR operations.

• Coordinates and supports onboarding activities for new hires and rehires, including, but not limited to, onboarding communications, required documentation, employment eligibility verification, Form I-9 completion, E-Verify processing, and compliance with onboarding requirements for employees, student employees, and affiliate/volunteers.

Required Qualifications: A high school diploma or equivalent (GED) and clerical or administrative experience. A bachelor’s degree may be substituted for the required work experience.

Preferred Qualifications: Two (2) years of customer service, administrative support, Human Resources, higher education, or office operations experience preferred. Experience supporting onboarding activities, financial/budget support, employment documentation, records administration, mandatory training compliance, or other Human Resources operational functions preferred.

Human Resources Specialist (AG05/61122722/FTE-S01203P), full-time position with benefits. SC State Pay Grade: GEN06. Salary range: $37,944.00 (minimum) – $49,266.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.

Ability to handle multiple projects simultaneously and meet deadlines is required. Strong organizational, computer, and communication skills (oral and written). Ability to multi-task and adhere to deadlines. Demonstrated customer service skills are necessary. Ability to resolve issues and make sound business decisions. Ability to maintain confidentiality and handle sensitive employee information. Strong attention to detail and accuracy in records management and data entry. Ability to manage multiple deadlines and prioritize competing responsibilities. Ability to communicate professionally with employees, applicants, departments, and external constituents. Ability to interpret and follow established procedures related to onboarding employment verification, records administration, and compliance-related activities.
