Position OverviewThe Department of Spanish & Portuguese seeks a part-time Student Office Assistant to provide essential support for key office functions. The Student Office Assistant will serve as a welcoming first point of contact for visitors, faculty, and students, while also assisting with communications and outreach tasks. This position reports directly to the Office Manager and supports the overall administrative operations of the department.
Job Description40%- Front Desk & Office Support
  • Serve as a welcoming first point of contact for visitors, faculty, and students during scheduled office hours. This includes times when the Office Manager is working remotely or unavailable, ensuring that in-person needs (e.g., printer issues, room questions, forms) are addressed promptly.
  • Provide overlapping coverage with the Office Manager at certain times for training, project coordination, and consistent support.
  • Greet visitors, answer phones, and monitor the main department email account, Responding to routine inquiries or forwarding to appropriate staff/faculty.
  • Receive and distribute U.S. and campus mail daily.
  • Assist with copying, scanning, and organizing documents.
  • Maintain tidiness of the front office and shared departmental spaces.
  • Assist with supply organization and inventory.
40%- Communications & Outreach Support
  • Maintain departmental social media accounts (Facebook, Instagram, Twitter/X), posting content provided by the Office Manager as well as creating original posts and graphics under the Manager’s guidance.
  • Create flyers, posters, and digital graphics for departmental events and announcements.
  • Assist with photography or documentation of department events as needed.
  • Assist with updating department website content (e.g., office hours, events, news) and provide feedback on ways to improve website navigation and usability for students in our program.
20%- Event & Project Assistance
  • Provide on-site support at departmental events (e.g. conferences, dissertation defenses, receptions, Crimson & Blue Day and other recruitment fairs).
  • Help with setting up event spaces, posting flyers, or preparing printed materials.
  • Support special projects assigned by the Office Manager.
Required Qualifications
    Experience using Microsoft Office Suite (Word, Excel, etc.), as indicated on application materials.Previous office or customer service experience, as evidenced by application materials or prior work experience.
Preferred Qualifications
  1. Experience working with a variety of social media platforms and their effective use for communication and engagement, as indicated on application materials.
  2. Strong communication skills, conveying information clearly and professionally, as indicated on application materials.
  3. Experience working in the University of Kansas campus atmosphere, including key locations and resources, as indicated on application materials.
  4. Experience working with Adobe Creative Suite applications, such as Photoshop, Illustrator, or InDesign, as indicated on application materials.
Position RequirementsDuring the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).Employment Conditions(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.
