  • Bachelor’s Degree from an accredited institution.
  • Two years of experience in admissions, enrollment management, student services, records processing, data management, or a related customer service environment.

Preferred:

  • Business Administration, Computer Science, Education, or related field.
  • Knowledge of university admissions, enrollment, or student services operations and familiarity with the day-to-day functions of a higher education institution.
  • Experience working in a higher education environment, particularly in admissions, registrar/records, financial aid, or enrollment services; experience working with student information systems, CRM platforms, or data management processes; experience supporting college students or applicants; and ability to travel or work occasional evenings and weekends as needed.

Primary Responsibilities:

Summary Function: The Admissions Operations Specialist provides operational support for undergraduate and graduate admissions and is responsible for the accurate, timely, and efficient processing of student applications and admissions documentation. The position manages incoming transcripts and other required admissions documents, performs data entry and data cleanup, maintains student records, and executes admissions-related processes within Banner 9 and the Enrollment Marketing Platform (EMP). The position monitors and processes undergraduate applications from initial inquiry through completion of the admissions process, ensuring that required documentation and admissions requirements are accurately recorded and appropriately processed. This position also serves a key role in maintaining data integrity and supporting the efficient operation of the admissions process. Scope: Responsible university-wide for processing undergraduate and graduate admissions materials and maintaining accurate student records across Banner 9 and EMP. Reviews transcripts, immunization records, and other admissions documentation; verifies admission eligibility and enrollment requirements; resolves data discrepancies; maintains data integrity; and generates reports to support the enrollment process.

Essential Job Functions:

  1. Manages daily admissions operations, ensuring accurate and timely processing of applications, documents, and applicant records in Banner 9 and EMP. |
  2. Reviews applications, transcripts, and supporting documentation to verify admission eligibility and process timely admission decisions. |
  3. Processes admissions requirements for undergraduate and graduate student populations in accordance with university policies and procedures. |
  4. Uploads and maintains admissions documents in the university CRM; documents student interactions and updates application records as needed. |
  5. Reviews and resolves data discrepancies, maintains data integrity, and performs data cleanup across admissions systems. |
  6. Coordinates with university faculty and staff across campuses to resolve admissions-related issues and support enrollment processes. |
  7. Generates and executes reports to support admissions operations, data accuracy, and enrollment initiatives. |
  8. Maintains knowledge of the full enrollment process and cross-trains with other Enrollment Management staff to provide coverage and support as needed. |
  9. Maintains regular and punctual attendance, completes required training and professional development, and provides scheduling or out-of-office information as required. |
  10. Protects student privacy and maintains confidentiality in accordance with FERPA and university policies. |
  11. Non-Essential: Participates in recruitment activities, enrollment events, and other university or college-wide initiatives; performs other duties as assigned by Enrollment Management leadership.

Other duties may be assigned to this position on a regular or occasional basis to respond to the needs of the university.

Demonstrated commitment to the mission of Sul Ross State University. Knowledge of undergraduate admissions processes, enrollment procedures, and higher education operations. Proficiency with computers and Microsoft Office applications, with the ability to learn and effectively use Banner 9, EMP, and other university systems. Strong verbal, written, organizational, analytical, and problem-solving skills. Ability to accurately process and manage high volumes of information and maintain attention to detail. Ability to provide professional and responsive customer service by phone, email, and other communication platforms. Ability to work independently and collaboratively, manage multiple priorities, meet deadlines, and remain professional in a fast-paced environment.

Physical Requirements:
This position typically works in an office environment, requiring prolonged periods of sitting at a desk while using a computer. The role demands frequent use of hands and fingers to operate a keyboard, mouse, and other office equipment. Visual acuity is essential for reading and interpreting data on computer screens. Clear verbal communication skills are necessary for interacting with colleagues and employees. Additionally, the job may involve occasional mobility around the office and attending meetings. Occasional evening or weekend work may be required.

Working Conditions:
Exempt from overtime provisions. Position is Security Sensitive. Current driver’s license and driving record acceptable to the University must be maintained as a condition of employment; must have personal transportation’ must be willing to work some evenings and weekends’ some overnight travel throughout Texas.

Security Sensitive:
This position is classified as Security-Sensitive and is thereby subject to the provisions of Texas Education Code §51.215 and Texas Government Code §411.094, which authorize employers to obtain and review criminal history record information for applicants.

Responsible for personal safety and the safety of others; must exercise due caution and practice sate work habits at all times.

Other Information:

Texas Law requires a 60 day waiting period before new state employees are eligible to enroll in health insurance.

Called "Possibly the most underrated little university west of the Mississippi" by CBS's Dan Rather, Sul Ross State University in West Texas boasts a combination of small class sizes, an appreciation of both fine arts and the sciences and popular professional programs in a relaxed, friendly environment.

Who Is Sul Ross? Where is Sul Ross?
The university's name honors Lawrence Sullivan "Sul" Ross, the son of a pioneer Waco, Texas, family and a popular soldier, governor, educator and humanitarian. Founded in 1917 as a teacher college, Sul Ross continues to offer teacher education as one of its most popular programs. Others in high demand are business, criminal justice and agricultural and natural resource sciences. Sul Ross achieved university status in 1969.

The university, comprising 647 acres in Alpine, Texas, boasts a beautiful 93-acre main campus of exquisitely-detailed buildings and enjoys perhaps the most temperate climate in the state. Its situation in the Davis Mountains overlooks the center of the city below, yet it remains within easy reach of many local stores and restaurants. The university also has a 468-acre working ranch that serves its animal science programs.

A Small Size, But Plenty to Do
With an enrollment of about 2,000 students on the main campus in Alpine, class sizes are small, guaranteeing a much higher level of personal attention from instructors and the university's support staff. But there's plenty for students to do in their free time: lots of student clubs and organizations, a thriving arts community and a strong athletic tradition.

The SRSU men's basketball team won the conference championship five times in the past 20 years, including the 1999 American Southwest Conference championship. The women's basketball team has also won five conference championships and played in eight national playoffs, even making it to the Final Four.

Similarly, the Lobos football and baseball teams have won five conference titles each in the past 20 years, including American Southwest Conference championships in the late 1990s. The Lady Lobos volleyball team has won nine conference championships in all.

Rodeo is significant part of the Sul Ross program, and the university is the birthplace of the National Intercollegiate Rodeo Association. Many team members have gone on to become world champions, and 1951 graduate Harley May is a charter member of the Professional Rodeo Cowboys Hall of Fame.
