The College of Law’s Administrative Services Department is hiring for a Administrative Specialist II. This is a full-time staff position. This position provides general office support with a variety of administrative activities and related tasks. This position serves as the first point of contact for the College of Law Deans Suite. This position is responsible for providing effective administrative assistance for all day-to-day operations, performing various clerical duties, and managing administrative tasks -including invoice management, travel coordination, sorting mail, filing, scheduling meetings, and restocking supplies. 

 

Administrative Support:

  • Greets visitors, responds to questions, provides necessary documents or instructions, and directs guests to the appropriate party.

 

  • Answers telephone inquiries and routes callers efficiently

 

  • Performs general administrative functions, including opening, sorting, and distributing incoming mail, and processing outgoing mail.

 

  • Orders and maintains office supply inventory.

 

  • Assists the Executive Assistant with maintaining the College of Law (COL) major events calendar, records, and filing systems.

 

  • Assist coordinate meetings by sending invites and ordering food.

 

  • Manages mailings, shipping, and contact lists, while assisting with database updates. 

 

  • Assist with College of Law signature events including setting up registration tables & nametags. 

 

  • Monitor registration for number of attendees, dietary restrictions, disability accommodations that are needed.  Arrange parking

 

  • Administrative Backup: Serve as a versatile backup Administrative Specialist for college-wide teams, assisting with large-scale projects, event execution, and operational continuity during staff shortages.

 

Business Services:

  • Processes invoices, honoraria, and expense reimbursements for the Dean's suite, coordinating adjustments using PantherMart and other university systems.

 

  • Assists with routing contracts.

 

Travel Support:

  • Assists in arranging domestic and international travel (including airfare and lodging) for Dean's suite members, leadership, and students.

 

  • Submits travel authorizations prior to trips and collects receipts for reimbursements.

Teacher Retirement System -- TRS is a Defined Benefit Plan, a traditional public pension plan. Employees contribute 6% and USG contributes 19.81% to the plan. Your retirement benefit is calculated by factoring years of service, final salary and 2% multiplier. Employees are vested after 10 years.

Qualifications

Minimum Hiring Qualifications:

Bachelor's degree and two years of related experience or; a combination of education and related experience. 

Preferred Hiring Qualifications: 

Proficiency with Microsoft Office Suite

Professional demeanor and appearance.

Excellent written and verbal communication skills.

Ability to be resourceful and proactive in dealing with issues that may arise and ability to organize and prioritize work assignments.

The Georgia State Panthers are members of the Colonial Athletic Association and compete in 16 NCAA Division I intercollegiate men’s and women’s sports, including basketball, baseball, softball, golf, tennis, track and volleyball. The university announced in April 2008 that is will begin Division I-AA football in 2010.

The university’s innovative Touch the Earth program brings outdoor recreation ranging from backpacking, rock climbing, sailing, kayaking, rafting and water-skiing to out-of-state snow-skiing and snorkeling trips. And WRAS, Georgia State’s popular 100,000-watt radio voice, is the most powerful student-run radio station in the United States.
