Position Summary:

The Payroll and Position Management Coordinator manages biweekly payroll, time and absence, and HR position management for all biweekly, temporary, and student/hourly employees in Grady College of Journalism and Mass Communication. The position also backs up monthly payroll and graduate assistantship payroll. It creates and maintains positions, prepares hiring proposals, processes payroll actions, and reconciles biweekly payroll expenses so that funding is accurate and compliant with university and sponsor requirements. The incumbent works closely with the HR and Faculty Affairs Operations Manager, the Payroll Specialist, the Graduate Office, business managers, principal investigators, department heads, and central HR and Payroll.

Knowledge, Skills, Abilities and/or Competencies:

  • Knowledge of UGA and USG payroll, time and absence, and position management policies, including FLSA and student/temporary employment rules.
  • Knowledge of graduate assistantship appointment and payroll processes, or ability to learn them quickly.
  • Experience with, or ability to learn quickly, OneUSG Connect, UGA Financial Management, the UGA Grants Portal, and UGAJobs.
  • Ability to interpret and apply policy accurately and explain it clearly to employees and supervisors.
  • Strong attention to detail, organizational skills, and ability to meet recurring, fixed payroll deadlines.
  • Ability to handle confidential personnel and payroll information with discretion.
  • Excellent written and verbal communication skills.

Physical Demands:

Primarily sedentary office work. Frequent computer and keyboard use, sitting, and standing. Occasional lifting of files or office materials up to 20 pounds.

Duties/Responsibilities:

Biweekly and Temporary Payroll (35%)

  • Manages the biweekly payroll cycle, including reminders to employees and supervisors to submit and approve timesheets and leave requests.
  • Submits Time and Absence approvals for all biweekly employees.
  • Processes Ad Hoc salary changes, Change Fund actions, terminations, and Express Direct Retros (EDRs) for biweekly and temporary employees.
  • Resolves timesheet, leave, and pay discrepancies with employees, supervisors, and central Payroll.
  • Serves as backup for monthly payroll processing in coordination with the HR and Faculty Affairs Operations Manager.
  • Serves as backup for graduate assistantship payroll, including coordinating with the Graduate Office on assistantship offer letters, appointments, and funding.

Position Management and Hiring (30%)

  • Creates, modifies, and evaluates positions for biweekly, temporary, and student/hourly employees.
  • Posts positions and completes hiring proposals in UGAJobs.
  • Coordinates onboarding and exiting processes for biweekly, temporary, and student/hourly employees, including required paperwork and system access.
  • Advises faculty and staff on hiring options, pay rates, and funding for hourly and temporary employees.
  • Maintains accurate position and personnel records.

Duties/Responsibilities:

Payroll Reconciliation and Funding (20%)

  • Reconciles biweekly payroll expenses monthly across all funding sources and resolves discrepancies with the Administrative Financial Director.
  • Works with the HR and Faculty Affairs Operations Manager and principal investigators on grant-funded hourly positions to ensure correct funding, allowable charges, and end dates.
  • Processes funding corrections and payroll-related journal entries.
  • Provides data on hourly and temporary positions for annual Budget Planning and Salary Setting.

Training and Compliance (10%)

  • Trains biweekly and temporary employees and their supervisors on timesheets, leave requests, and approvals in OneUSG Connect.
  • Communicates payroll and HR policy changes and deadlines to the college.
  • Monitors compliance with student employment rules, temporary work-hour limits, and FLSA requirements.

  • Attends Business Office meetings, campus trainings, and payroll and HR updates to stay current on systems and policies.
  • Supports process improvements and documentation for payroll and position management.
