Job Description Summary / TWC Summary:

Under general supervision manages with the administration of the Ocean of Soul Marching Band’s financial, budgetary, contracts/purchasing and systems operations. Provides all office administration duties for the band program, working directly with the Director of Bands and band staff.

Essential Duties Summary:

  • Processes expenditures and accounts payables/receivables transactions for the Ocean of Soul Marching Band program and submits for signature approval. Ensures funds availability, coordinates budgetary transfers, and monitors transactions. (This includes all band travel, performances, and competitions).
  • Reviews and processes purchase requests for instruments, uniforms, and band equipment, and monitors vendor invoices for supplies and repairs.
  • Assists band leadership with strategic and administrative planning, and processes relative to pro forma’s, financial projects, procurement, accounts payable/receivable, measures and feasibility studies for the band program.
  • Performs financial analysis of revenues and expenditures for the band program during the annual budget process and periodically throughout the fiscal year, using financial and accounting reports from the Banner Finance system.
  • Works with the Director of Bands to prepare the annual budget for the band program. Assists with presentations to the Budget committee.
  • Coordinates the preparation and completion of RFP’s and vendor bidding processes for uniform, instrument, and travel contracts through the Purchasing and Compliance offices, for the renewal of contracts.
  • Generates standard and ad hoc financial reports for band leadership use.
  • Monitors band students’ academic records to help ensure Satisfactory Academic Progress (SAP), and communicate with academic advisors, instructors, and other university officials regarding class sessions that may be missed due to university-sanctioned band travel.
  • Performs other job-related duties as assigned.

$55,038.89 - $70,174.59

Knowledge, Skills, and Abilities:

Knowledge of:

  • Policies, procedures, and practices.
  • Demonstrates full/complete knowledge in an area. Requires command of technical and functional procedures, processes and subject matter in a job family or professional discipline to handle most situations and lead and/or review the work of others in multiple job classifications performing diverse responsibilities.
  • Microsoft Office Professional or similar application.
  • Band scheduling, travel coordination, and performance/event budgeting.

Work Experience:

One (1) to three (3) years of related experience.

Prior experience in budget or financial administration for a band, athletics, or performing arts program; familiarity with travel and event contract coordination preferred.

Ability to maintain the security or integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.

Working/Environmental Conditions:

  • Routine office environment.
  • Sitting or standing in one location much of the time.
  • Some stooping, lifting or carrying objects lightweight may be required.
  • Use of video display terminal.
