Essential Job Duties:

The position serves as the liaison and/or coordinator between executive leadership and other university departments. The position exercises considerable independence, ensuring that administrative details are managed in accordance with executive objectives and work priorities. This position will maintain a high level of knowledge of division programs, activities, goals, priorities, and commitments, a high level of independence and accountability for speaking on behalf of executive leadership, and a high level of judgment and discretion concerning division operations. This individual is frequently called upon by directors and departmental administrators in the division to answer questions directed to leadership. The responsibilities of this position are to relieve executive leadership of as many matters as possible that do not demand personal attention.

Minimum Experience/Education:

Bachelor’s degree with at least one year of directly related experience, or an equivalent combination of education, training, and administrative experience. Academic environment experience with work of increasing variety and complexity is strongly preferred.

Department Required Skills:

  • Ability to serve as the primary information conduit between the Head, faculty, and staff, with the confidence and accuracy to speak on behalf of the head regarding departmental, college, and university inquiries.
  • Capability to distill high-level ideas into clear, thoughtful communications while adapting tone for a diverse audience, achieving cooperation and consensus across academic disciplines.
  • Ability to act as a key communication link and liaison for departmental events, including December graduation.
  • Advanced English grammar, spelling, punctuation, proofreading, and creative writing skills to draft, format, and edit memos, policy interpretations, and confidential correspondence matching the head’s personal style.
  • Skill in managing internal and external communications, including topic research, interviews, image generation, and publication of newsletters and meeting minutes.
  • Ability to work independently with minimal supervision, evaluate alternatives, make sound factual decisions, and present researched, viable solutions for high-level issues requiring executive consideration.
  • Ability to adapt tactics and strategies to changing priorities, while maintaining high professionalism, diplomacy, and strict confidentiality with sensitive information.
  • Sound judgment to set reasonable administrative deadlines, enforce compliance, and apply consequences professionally.
  • Meticulous attention to detail, proactive initiative, and excellent follow-through to manage competing priorities consistent with the Department Head’s expectations.
  • Experience organizing on- and off-campus events, career panels, hybrid meetings, community engagement initiatives, and outreach activities that elevate departmental visibility.
  • Strong understanding of university, college, and departmental policies to build standardized guidelines, while fostering a positive, productive office climate.
  • Hands-on experience with Microsoft Office, Google Suite, MailChimp, Doodle, WordPress, PeopleSoft, Zoom (including setting up hybrid departmental meetings), and institutional university software systems.

Preferred Years Experience, Skills, Training, Education:

  • Experience with handling/processing financial transactions such as P-Card reconciliation, Travel Authorizations, Travel Reimbursements, personal reimbursements, voucher payments, and Marketplace.
