Essential Job Duties:

The Programming Director provides programmatic, operational, and administrative leadership in support of Summer School programs and services. The position oversees key academic, student services, financial, and operational processes and serves as a liaison among Summer School, academic departments, students, advisors, and University partners.
Working closely with the Associate Dean and Summer School leadership, the Programming Director ensures that established University processes are implemented accurately and efficiently, identifies issues requiring leadership attention, and coordinates activities across multiple teams and organizational units. The position has particular responsibility for course and instructor administration, visiting student and admissions processes, off-campus programs, Explore@UNC financial and payroll operations, and other projects as assigned.
Because many responsibilities require knowledge of University policies, systems, processes, and organizational structures, successful performance in this position requires substantial higher education administrative experience and, preferably, prior experience working at UNC-Chapel Hill.



Essential Duties and Responsibilities

Course Change and Academic Administration

  • Oversee the processing and approval of course changes and related University processes.
  • Coordinate course changes with appropriate Summer School staff, academic departments, and University partners.
  • Review course change requests for completeness, accuracy, and potential operational or academic issues.
  • Communicate approved course changes and related information to appropriate stakeholders.
  • Identify unusual, complex, or potentially problematic issues and escalate them to the Associate Dean as appropriate.
  • Ensure that course changes are communicated and implemented in a timely manner.
Instructor Nominations and HR-Related Processes
  • Oversee the collection and processing of instructor nomination forms submitted by academic departments.
  • Maintain accurate records of instructors teaching Summer School courses by department.
  • Coordinate with academic departments regarding missing, incomplete, or inconsistent instructor information.
  • Ensure that instructor information is accurately documented and communicated to appropriate Summer School and University personnel.
  • Assist with related instructor appointment and HR processes as needed.
Summer Payroll and Operations
  • Assist Summer School leadership with summer payroll and operational processes.
  • Coordinate with appropriate University offices and Summer School staff to resolve payroll or operational issues.
  • Monitor deadlines and ensure that required information is submitted accurately and on time.
  • Assist with troubleshooting issues that arise during the summer operational cycle.
  • Support the implementation and improvement of operational processes as needed.
Explore@UNC Payroll and Financial Administration
  • In close collaboration with the Pre-College Programming Director, monitor program expenditures, payments, and related financial activity.
  • Manage payroll and financial processes associated with Explore@UNC.
  • Coordinate with appropriate University offices and Summer School staff regarding financial and payroll requirements.
  • Maintain accurate records and documentation and ensure compliance with University procedures.
  • Identify financial or operational issues requiring attention and communicate them to Summer School leadership.
Off-Campus Programs
  • Oversee administrative coordination for Summer School off-campus programs.
  • Manage admissions, student information, communications, and coordination with participating programs.
  • Serve as a liaison among Summer School, off-campus program partners, students, and relevant University offices.
  • Coordinate timelines, documentation, communications, and operational requirements for participating programs.
  • Identify and resolve issues affecting student enrollment, admissions, or program operations.
Visiting Student Services
  • Coordinate processes supporting visiting students in collaboration with Summer School staff.
  • Assist with visiting student admissions, registration, advising coordination, and related administrative processes, including eligibility review.
  • Coordinate with visiting students’ advisors and Student Services staff to ensure students receive accurate and timely information.
  • Troubleshoot complex student or administrative issues and escalate matters when appropriate.
  • Monitor visiting student processes and identify opportunities to improve communication and service.
Admissions and Application Management
  • Oversee Summer School admissions processes for visiting and other applicable student populations.
  • Assist with the development, review, and implementation of admissions applications and related processes.
  • Coordinate with visiting students’ advisors, Student Services staff, and other University partners to facilitate the admissions process.
  • Monitor admissions activity and identify process issues requiring attention.
  • Assist with resolving application and admissions issues and ensuring timely communication with students and University partners.
Project Management and Special Projects
  • Lead or support short- and long-term projects as assigned by Summer School leadership.
  • Develop project timelines, coordinate stakeholders, track progress, and ensure completion of assigned deliverables.
  • Work across Summer School teams and University units to move projects forward.
  • Identify barriers, dependencies, and emerging issues and communicate them to appropriate leadership.
  • Provide operational support for new initiatives, process improvements, and other strategic priorities.
Event Support
  • Assist with planning and implementation of Summer School events and programs.
  • Coordinate logistics, communications, staffing, materials, and other event-related needs.
  • Provide on-site or virtual support during events as needed.
  • Work with internal and external partners to ensure effective event execution.

Preferred Years Experience, Skills, Training, Education:

  • Previous professional experience at the University of North Carolina at Chapel Hill.
  • Demonstrated knowledge of UNC-Chapel Hill policies, procedures, systems, and organizational structures.
  • Experience working directly with academic departments and central University administrative offices.
  • Experience with student admissions, enrollment, registration, advising, or student services.
  • Experience with faculty/instructor appointments, payroll, HR, or other academic personnel processes.
  • Experience managing summer programs, continuing education, visiting student programs, or other non-traditional academic programs.
  • Experience with Formstack, Monday.com, or similar workflow and project-management systems.
  • Experience with University financial, payroll, or budget processes.
