The Administrative Assistant in this position will provide administrative support to the County Extension Director and other staff of the North Carolina Cooperative Extension – Randolph County Center.

Duties and Responsibilities:

The County Extension Administrative Assistant is a member of the staff of North Carolina Cooperative Extension. The primary responsibility is to provide administrative support to the County Extension Director and other staff as assigned. This includes, but is not limited to, budget planning, forecasting, and monitoring. The County Administrative Assistant cooperates with colleagues in NCCE and county leaders in performing assigned responsibilities.
This position requires a high level of financial accuracy, organization, accountability, confidentiality, and independent judgment. The successful candidate must be comfortable working with multiple budgets, financial systems, deadlines, and competing priorities while providing responsive customer service to Extension staff.

Other Work/Responsibilities:

Duties include:

  • Budget related activities, including purchasing, invoice processing, and taking payments
  • Bookkeeping of multiple accounts and grants
  • Maintenance of confidential personnel records
  • Completion of NCCE and Randolph County mandated reports

The candidate must maintain a high level of trust, confidentiality, and a positive, professional attitude towards supportive team building.

This position will be responsible for supporting individual agent programs as assigned.

The Administrative Assistant will also answer phones, greet visitors to the office, respond to general information inquiries, assist Extension Volunteer Groups, and carry out other general office duties as assigned.

8:00 am - 5 :00 pm, Monday through Friday

Minimum Experience/Education:

Graduation from high school and two years of related experience; or graduation from a two-year secretarial science or business administration program and one year related experience

Department Required Skills:

An extensive knowledge of computer applications is required, including Microsoft 365, Google Workspace, and Outlook.

Must have a willingness to learn new software programs necessary to perform essential duties.

Must be highly motivated, have strong organizational skills, problem-solving skills, and the ability to multitask. The County Administrative Assistant should possess strong written and verbal communication skills.

Must have the ability to communicate financial policies and requirements clearly and professionally, as well as the ability to handle confidential information appropriately.

Must have effective time management skills and be able to prioritize tasks.

Must have a strong sense of fiscal responsibility and accountability for public funds. Ability to establish effective working relationships with County departments, University personnel, vendors, and Extension staff.

Preferred Years Experience, Skills, Training, Education:

At least three years of experience in a finance and operations-type position. Preference for county government, higher education, Cooperative Extension, and other public-sector operations work experience.
Knowledge of county government, higher education, Cooperative Extension, or other public-sector operations.

Strong understanding of governmental budgeting, purchasing, accounts payable, and financial management.

Ability to manage and monitor multiple program budgets.

Proficiency with PCard reconciliation and expense management.

Familiarity with timekeeping systems.

Ability to learn and effectively use county and university financial, purchasing, and administrative systems.

Ability to support multiple professionals and programs in a deadline-driven environment.

Ability to maintain organized electronic filing systems and financial records.
Human resources skills to assist with interviewing, hiring, and onboarding processes.

Strong customer service and problem-solving skills.
