This position has been deemed critical by the School of Humanities and Sciences Dean’s Office and is exempt from the hiring freeze.

Work Arrangement: Hybrid – at least three days per week on-site.

Budgeted Salary: The budgeted base salary range for this position is $36.54 - $38.46 per hour.

Department/Program Description:

Stanford Political Science is an academic department consisting of 40+ faculty and lecturers as well as post-doctoral scholars and approximately 90+ graduate students and 150 undergraduate majors and minors. We are a strong team of seven full time administrative staff that encourages collaboration, opportunities for professional growth and a positive working experience for all team members.

Brief Position Summary

The Department of Political Science is seeking a Student Services and Event Specialist who will be responsible for supporting graduate and undergraduate student affairs for the department as well as weekly academic workshops.

This position is a key member of the administrative team supporting the department’s student services group and faculty with course and enrollment administration. The position also manages academic and social events for students and organizes the Summer Research College program. The role also includes independently managing logistical arrangements for weekly academic workshops which may include travel arrangements, organizing itineraries and workshop communication.

This is a 100%, non-exempt, continuing position.

The Student Services & Events Specialist must possess a team-based and customer-focused mindset. It is critical that this position exhibit the ability to practice sound judgment and decision-making, effective written & oral communication, strong attention to detail and respectful relationship management. This position must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies and procedures as they relate to the department of Political Science.

Responsibilities

Core Duties:

  • Review documents and forms for completeness, track files forfollow up and distribute for review.

  • Research and resolve routine issues, refer complex issues toother staff.

  • Input data, update electronic databases, web sites, literature,and associated materials. May collect, gather and validate data, preparebasic reports.

  • Coordinate logistics for outreach activities, meetings, andevents.

  • Respond to routine inquiries from students, faculty, externalconstituents, and staff.

  • Serve as a subject matter resource to students and otherdepartments.

  • Contribute to general office administration and processimprovements.

  • May train and direct day to day activities of student andtemporary workers.

Minimum Education andExperience

Associates degree and one year of relevant experience, or combinationof education and relevant experience.

Knowledge, Skills and Abilities:

  • Strong written and verbal communication skills.

  • Basic computer skills, including experience with Microsoft OfficeSuite.

  • Customer service skills.

  • Basic office administration skills.

  • Ability to learn compliance with legal, financial, and universitypolicies and external regulations.
