SUMMARY:

Under direction of the Director, Real Estate & Business Development the Real Estate and Business Development (RE & BD) Student Assistant will perform a full range of Real Estate and Business Development administration and processing in support of various real estate associate directors such as capital projects, commercial real estate management, residential real estate management and conference services.  The RE & BD Assistant will assist in projects assigned such as lease administration and property files, financial and invoice review and payment, tracking vendor contracts and other duties as assigned associated with Real Estate.  These functions are to be carried out in an accurate and timely manner in accordance with consistent compliance and all company policies and legal requirements using sound professional judgment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES DEPENDING ON LOCATION:

  • Verify and input invoices for payment in Qualtrics

  • Setting up new vendors in Qualtrics

  • Setting up new Real Estate Agreements, Contracts or Purchase Orders (PO's) in Qualtrics

  • Review and draft commercial real estate agreements and Letter ofIntent

  • Scheduling vendors such as cleaning via Aztec Shops intranet or Issue Trak

  • Scheduling maintenance and repair requests via Issue Trak

  • Issuing parking refunds for residential via Aztec Shops intranet

  • Responsible for timely Purchasing Card (P-Card) credit card payment processing. 

  • Corresponds with customers, resolves disputes, and makes vendor payment adjustments

  • Maintains accounts receivable records of monthly rent payments

  • Maintains commercial real estate rent roll and updates rent increases for Accounts Receivable

  • Maintains common area maintenance (CAM) reconciliation spreadsheets

  • Develops and maintains working relationships with customers, coworkers, student organizations, faculty, staff, and university personnel.

  • Must comply with and ensure continued, consistent compliance with all company policies, and federal, state, and local laws/regulations including but not limited to: employment, safety, and health.

  • Other duties as assigned.

Minimum Requirements 

MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED:

The minimum requirement for applicants is a High School Diploma or a General Education Development (GED) degree is required.  Related experience and/or advanced training or any equivalent combination of education and experience may be substituted.  Previous office experience is desired.  Must be computer literate with knowledge of Microsoft Office and Google Workspace products. Ability to work independently, with a high degree of accuracy and attention to detail. Ability to consistently meet deadlines, work under pressure and multi-task. Strong organizational and interpersonal skills, including the ability to communicate clearly with others to explain and resolve accounting issues.

 

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

 

LANGUAGE SKILLS: 

Must be able to read, write and understand English.  Requires the ability to follow verbal and written instructions, guidelines and objectives. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from employees, subordinates, vendors, other departments, customers and the general public.

 

MATHEMATICAL SKILLS: 

Requires understanding of real estate management methods, procedures and practices. Ability to calculate figures and amounts such as lease amounts, contract amounts, interest, and percentages.  Ability to apply concepts of basic real estate management financial analysis using excel. 

 

REASONING ABILITY: 

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

MANUAL DEXTERITY:

Must be able to utilize a computer.  Requires the ability to use a variety of office machines and equipment. 

 

PHYSICAL COMMUNICATION: 

Must have the ability to talk/expressing and/or exchanging ideas and hear/perceiving sounds.  

 

PHYSICAL DEMANDS:  

Physical demand requirements are at levels for sedentary work. Must be able to operate office equipment such as computers, copy machines, fax machines, and to operate a calculator. Must be able to move, lift or carry heavy objects or materials up to 10 pounds.

 

WORKING CONDITIONS AND HAZARDS

Work is regularly performed in a traditional office setting. There may be exposure to airborne particles created from incoming boxes and merchandise.  The noise level in the work environment is usually low to moderate.

 

BACKGROUND CHECK INFORMATION: 

A background check will be conducted after a conditional offer of employment is extended by the company and accepted by the applicant and must be satisfactorily completed prior to any applicant beginning work in a full-time, part-time non-student, or sensitive student capacity with Aztec Shops Ltd.
