Job SummaryThe Assistant Director (AD) of Housing Facilities is a full-time, 12-month position responsible for daily operations and facilities management in University Housing. Principal responsibilities include managing housing operations logistics, coordinating with campus facilities, maintenance, and custodial providers, overseeing maintenance and renovation projects, and promoting a safe, clean, and welcoming residential environment that supports student success. Additional responsibilities include staff supervision and staff development, administration and building management, in addition to other departmental and university responsibilities. The Assistant Director is required to be available for irregular hours, extended workdays, on-call emergencies, and weekends. This position is designated as essential personnel and is required to be present for emergency situations, including but not limited to: inclement weather, health crisis isolation response, etc. The AD provides direct support to residents, ensuring a safe and well-managed living environment. The AD demonstrates a strong commitment to customer service and student support. They utilize excellent interpersonal skills in communication with students, parents, colleagues, faculty, and staff. Central duties can include chairing departmental committees, departmental trainings, student leadership development and selection, and assessment. Strong collaboration between campus partners is important. The role of the AD has been designated as a Campus Security Authority (CSA) under Federal Law (Jeanne Clery Act), which encompasses significant responsibilities regarding both students and the campus community. As CSAs, they are mandated to report any incidents disclosed to them that occurred on campus or in public areas.
Reporting directly to the Director of Housing, the incumbent assists with managing a complex business operation and possesses the authority to evaluate courses of action within the parameters of clearly established University policies and procedures, or under the supervision of the Director. Furthermore, the incumbent is required to obtain approval for decisions regarding budgetary matters within the Residence Halls. The Assistant Director of Facilities and Operations for University Housing & Residence Life is responsible for understanding and resolving problems that may significantly impact the residential facilities operations and serves to anticipate and troubleshoot these situations.

Responsibilities
- Perform related duties as assigned to support the mission of the University
- Lead or participate on committees for the selection, training, supervision, and evaluation of Resident Directors, Graduate Assistants, Community Assistants, etc.
- Develop intentional practices to assist the development and growth of professional staff, including formal and informal evaluations.
- Serve as the primary liaison between University Housing & Residence Life and external vendors and contractors completing facility maintenance, cleaning, and upkeep in university-owned residential communities
- Oversee the day-to-day management of regular maintenance, repairs, custodial services, and capital improvement projects for University Housing & Residence Life
- Coordinate the facility-related logistics for opening/move-ins, check-ins, and check-outs.
- Coordinate emergency response for facility issues, including floods, fire alarms, HVAC outages, etc.
- Maintain building key control systems and coordinate lock changes and access permissions.
- Ensure that facilities meet fire and life safety codes. Accommodate facility requests for students with special needs.
- Ensure all grounds and building surroundings are adequately maintained at all times, conducting regular walking tours of the buildings and grounds to inspect for repairs, cleanliness, and compliance with all policies, procedures, and safety.
- Facilitate the evaluation of custodial performance within assigned residential areas.
- Assist in the coordination of construction, renovations, and repairs with architects, engineers, construction managers, and contractors.
- Utilize verbal and written communication skills to keep residents informed regarding any facility-related policies, service changes, and repairs requiring additional time, etc.
- Supervise processes related to room turnovers, summer conferences, early arrivals, and break housing.
- Develop and manage schedules for preventive maintenance, cleaning, pest control, and furniture inventory.
- Manage vendor relationships for services such as laundry, furniture, card access parts, etc.
- Maintain accurate records of facility-related expenditures, work orders, and service contracts.
- Manage the development, dissemination, and review of all materials and manuals relating to departmental paraprofessional positions related to facilities and operations, including customer service and safety-related expectations.
- Provide ongoing training through staff development activities and daily supervision. Serves as a role model for staff.
- Schedule and direct fire drills and safety exercises on a semester basis in coordination with Public Safety.
- Ensure compliance with ADA, OSHA, Fire Marshall, and other local, state, and federal regulations.
- Assist with and attend meetings, staff training, and in-service programs throughout the year and presenting workshops and staff development programs.
- Respond to any departmental needs in the absence of the Director of Housing.
- Assist with special projects assigned by the Director of Housing.
- Contribute to the development of FF&E Inventory, Capital Improvement Plan, and Preventive Maintenance Plan to maintain the value of the asset.
- Work with the Director of Housing to define, assess, and implement departmental goals, objectives, outcomes, policies, and procedures.
- Coordinate communication for the department through print, website, social media, and other electronic formats with students, parents, staff, and campus constituents.
- Participate in campus committees and collaborations.
- Bachelor's degree required
- Five (5) years or more of experience in student housing, or property management.
- Must be able to effectively engage with students in a higher education living and learning environment.
- Consistently provide excellent customer service. Capable of addressing customer service challenges and managing student crises. Stay informed about safety features within buildings. Must maintain confidentiality and protect sensitive information.

Proposed SalaryThe salary range for this position is $50,000.00 to $53,000.00 annually.

- Skilled in managing multiple priorities, organizing workloads, and effectively handling competing deadlines in a fast-paced environment.
- Skilled in utilizing Microsoft Office applications and electronic work order management systems to support administrative and operational functions.
- Skilled in verbal and written communication, interpersonal relationship building, and customer service problem resolution.
- Ability to supervise, mentor, and lead individuals and groups while fostering student development and positive group dynamics within a residence hall environment.
- Ability to adapt to changing situations, manage student crises, and implement educational and community-building programs that support resident engagement and success.
