Primary Purpose of the Organizational Unit:

UNCG’s Division of Enrollment Management consists of four departments that work across the student lifecycle to facilitate and support recruitment and retention. Undergraduate Admissions, Financial Aid, , the University Registrar’s Office, and a centralized business operations unit report to the division. The Vice Chancellor of Enrollment Management, along with the Associate Vice Chancellor, provides leadership and supervision for these units (each headed by a Director/Registrar) and also provides strategic enrollment management for the institution as a whole, regularly interacting with and coordinating the enrollment initiatives of the Graduate School, Global Engagement Office, Lloyd International Honors College, and Student Success. Overseeing the institution’s enrollment management plan, the Vice Chancellor works closely with the Division of Business Administration and Finance and others to establish enrollment targets and estimate annual resource generation tied to enrollment. The Vice Chancellor works closely with the Provost to facilitate an environment where enrollment management and student success are closely tied to promote student retention.

Position Summary:

The Executive Assistant is responsible for providing full administrative support to the Vice Chancellor and the Associate Vice Chancellor for Enrollment Management. This includes complex calendar management, large meeting scheduling, developing reports and presentations, editing documents, handling phone calls and messaging, greeting visitors, and making appropriate referrals. The Executive Assistant will coordinate domestic and international travel, various meetings including agendas, taking minutes, and logistics management and preparation and/or revision of documents/reports. This position serves as a liaison with various departments as well as external contacts and with university leadership units, and the position has dotted-line support responsibilities to the Director of Finance and Business Operations. This position will chair a division-wide planning and engagement committee with representation from the four departments. This position will be responsible for planning division-wide EM events such as semesterly meetings, celebrations and retreats. This position will regularly handle sensitive information and requires maintaining strict confidentiality and discretion. This position will also require adaptability and openness to change as the needs of the organization change.

Minimum Qualifications:

  • High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Qualifications:

  • Bachelor’s Degree in Business Administration or a related discipline and at least 3 years of relevant experience.
  • High degree of computer literacy, including advanced proficiency in the entire Microsoft Office suite.
  • Professionalism and a high level of confidentiality.
  • Administrative support experience at the executive level.
  • Demonstrated ability to communicate well, collaborate, and interact with individuals from diverse backgrounds.
  • Demonstrated experience providing excellent customer service and problem-solving skills.

Calendar Management and Meeting Scheduling

Essential Tasks:

  • The position will be required to take a proactive approach to managing complex calendars and scheduling meetings by addressing calendar conflicts proactively and handling continual calendar changes with ease.
  • The position will be responsible for helping to arrange appointments for both the Vice Chancellor and Associate Vice Chancellor for EM.

Essential Tasks:

  • This position acts as office manager and first point of contact.
  • This position serves as a liaison with various departments as well as external contacts and with university leadership units- particularly the Chancellor’s Office. Demonstrates knowledge of nuances, appropriate protocol, and specific preferences of the administrator and constituents, and has authority to use discretion and critical decision-making and judgment in all forms of communication.
  • The position manages, supply ordering, facility maintenance work orders, and purchasing.
  • Coordinates all travel arrangements for both VC and AVC.
  • The position will be responsible for handling phone calls and messages, greeting visitors, and making appropriate referrals.

Essential Tasks:

  • This position will serve as the chair and meeting planner/organizer for the EM staff enrichment committee, including planning division-wide events.
  • This position will handle logistics for various meetings, including scheduling, invitations, RSVPs, agendas, catering, room setup, material preparation, etc.

Essential Tasks:

  • This position will research, develop, and compose presentation materials for the Vice Chancellor and Associate Vice Chancellor in a variety of settings.
  • Using technology, this position prepares reports, meeting minutes, graphs, and presentation materials for internal and external constituents.
  • This person will need confidence in developing presentations, managing spreadsheets, and creating graphs after summarizing information.
  • The position also creates the monthly EM Newsletter, manages the EM listserv, and manages the creation of the new employee welcome letter.
