Job Summary

Reporting to the Director of Admissions Operations, the Recruitment Marketing & Data Coordinator develops and executes targeted recruitment communications that help prospective students move from interest to application and admitted students move from admission to enrollment. The position combines persuasive content development, hands-on campaign execution, audience segmentation, CRM support, and practical data analysis across email, text messaging, direct mail, and other approved recruitment channels.

The Coordinator supports the University's strategic recruitment plan by building timely, accurate, student-centered campaigns in Salesforce/TargetX and related platforms. Communications should do more than deliver transactions and deadlines. They should explain the value of an MGA education, build confidence, answer student and family questions, create belonging, and provide a clear next step. The successful candidate will be a strong writer, careful data user, creative problem-solver, and reliable finisher who can manage a high volume of work without sacrificing accuracy or the student experience.

Responsibilities

Recruitment Marketing Content and Campaign Execution (40%) -
Support the development and execution of annual and term-specific recruitment communication plans aligned with enrollment goals.
Execute and manage recruitment campaigns across email, text messaging, direct mail, and other approved channels.
Build coordinated communication journeys for major enrollment stages, including inquiry nurturing, application completion, admitted-student yield, financial-aid and enrollment readiness, orientation, registration, and summer melt prevention.
Coordinate and maintain communication calendars, campaign assets, mailing projects, vendors, and production schedules to ensure timely execution.
Proofread and quality-check all communications for accuracy, clarity, tone, accessibility, brand alignment, personalization, links, dates, and mobile readability before release.
Collaborate with Marketing and Communications to ensure recruitment communications reflect University brand standards, voice, visual identity, and institutional priorities.

CRM, Audience Segmentation and Data Quality (30%) -
Support the Director of Admissions Operations in the daily functional use of Salesforce/TargetX and related recruitment communication tools.
Assist with data cleanup, duplicate review, source coding, campaign naming, record maintenance, and other activities that improve the accuracy and usefulness of prospective-student data.
Support testing and documentation of approved CRM workflows, forms, templates, reports, communication journeys, and process improvements.
Develop and maintain practical process guides, campaign checklists, data definitions, and operating documentation that allow work to be completed consistently and reduce dependence on any one employee.
Assist with CRM training and day-to-day support for Admissions users, with emphasis on accurate data entry, timely follow-up, task completion, and consistent documentation of student interactions.

Enrollment Campaign Analysis and Improvement (20%) -
Monitor recruitment funnel activity and campaign performance to identify audiences that need additional communication, personal outreach, or a different message.
Prepare concise campaign reports showing the audience, purpose, content, timing, results, lessons learned, and recommended next action.
Conduct structured tests of subject lines, calls to action, content, timing, channel, and audience when approved; document results and apply lessons to future campaigns.
Maintain a campaign learning log so successful practices, unsuccessful approaches, and recurring student questions inform future recruitment strategy.
Support analysis of recruitment sources, audience response, and conversion outcomes so Admissions can concentrate effort on the markets and tactics most likely to increase applications and yield.

Coordination and Project Support (5%) -
Coordinate campaign inputs and deadlines with Recruitment, Admissions Processing, Dual Enrollment, Graduate Admissions, Financial Aid, academic programs, Marketing and Communications, and other appropriate offices.
Maintain project timelines, status updates, approvals, and follow-up for assigned recruitment campaigns and communication initiatives.
Participate in recruitment events and occasional evening or weekend activities when campaign execution or student communication support is needed.

Other Duties (5%) -
Support Admissions operations during peak enrollment periods as assigned.
Perform other related duties and special projects assigned by the Director of Admissions Operations.

Required Qualifications

Educational Requirements
Bachelor's degree from an accredited college or university in marketing, communications, public relations, business, data analytics, higher education, English, journalism, or a related field, or an equivalent combination of education and relevant experience as permitted by University policy.

Other Required Qualifications
Demonstrated writing and editing ability. Finalists may be asked to provide work samples or complete a short job-related exercise.
Ability to work occasional evenings and weekends and travel among MGA campuses or recruitment events as needed.

Required Experience
At least one year of professional, internship, graduate-assistantship, or comparable experience involving marketing communications, email campaigns, content development, CRM use, student recruitment, data management, or a related function.

Preferred Qualifications

Additional Preferred Qualifications
Familiarity with email quality assurance, basic HTML, mobile-responsive email, accessibility, personalization, consent, and opt-out practices.
Portfolio or work samples demonstrating clear, persuasive, audience-appropriate writing.

Preferred Experience
Experience using Salesforce, TargetX, or another CRM or marketing-automation platform.
Experience building email campaigns, text-message campaigns, direct-mail campaigns, automated journeys, or segmented communications.
Experience in higher education, admissions, student recruitment, enrollment marketing, nonprofit marketing, or another mission-driven organization.
Experience using Microsoft Excel or similar tools to validate lists, organize campaign data, and summarize performance.
Experience coordinating print production, mailing lists, vendors, or fulfillment schedules.

Knowledge, Skills, & Abilities

Knowledge of content marketing, audience segmentation, digital communication, campaign execution, and basic marketing performance measurement.
Excellent writing, editing, proofreading, storytelling, and message-development skills, with the ability to make complex information clear, engaging, accurate, and actionable.
Ability to write for different student populations and enrollment stages while maintaining a consistent institutional voice.
Working knowledge of CRM systems, email marketing platforms, text messaging platforms, spreadsheets, databases, or comparable technology tools.
Ability to create and validate audience lists, interpret basic campaign and funnel data, recognize anomalies, and communicate findings clearly.
Exceptional attention to detail, particularly when working with large audiences, personalized communications, dates, links, student records, and time-sensitive campaigns.
Skill in organizing multiple campaigns, deadlines, reviews, and dependencies in a fast-moving environment.
Ability to learn new technology, follow established approval and quality-assurance processes, and document work clearly.
Ability to collaborate productively with Admissions, Marketing and Communications, Financial Aid, academic departments, technical staff, vendors, and other partners.
Sound judgment and discretion in handling student information, institutional communications, and matters that may affect student trust or the University's reputation.
