POSITION SUMMARY:

Coordinate post-award administration and operational support for sponsored research projects within the College of Pharmacy. Assist faculty investigators and research administrators with award management, subaward administration, personnel actions, graduate student funding oversight, effort monitoring, budget revisions, contract tracking, and sponsor compliance activities. Serve as a liaison among principal investigators, Sponsored Projects, Human Resources, Payroll, the Graduate School, and collaborating institutions to ensure the effective and compliant administration of externally funded research projects.



Duties and Responsibilities:
KEY DUTIES AND RESPONSIBILITIES:

1. Coordinate and support the post-award administration of sponsored research projects within the College of Pharmacy.

2. Review award notices and establish tracking mechanisms for project periods, reporting deadlines, budget periods, personnel commitments, and project milestones.

3. Monitor sponsored project activity throughout the award lifecycle and communicated upcoming deadlines, administrative requirements, and funding concerns to principal investigators and college leadership.

4. Review awarded projects to ensure salary distributions for faculty, staff, postdoctoral scholars, graduate assistants, and student employees are established and maintained in accordance with approved budgets and effort commitments.

5. Coordinate salary distribution changes, funding reallocations, and related administrative processes associated with sponsored projects.

6. Track graduate student appointments, stipends, tuition support, funding allocations, and project-supported assistantships. Monitor funding end dates and identify potential funding gaps.

7. Assist principal investigators and research administrators with budget monitoring, account reconciliations, and budget revision requests. Prepare supporting documentation and monitor expenditures for compliance with approved budgets and sponsor requirements.

8. Coordinate college-level administration of subawards, including proposal documentation, establishment, modifications, invoice tracking, deliverable monitoring, reporting requirements, and closeout activities. Serve as a liaison among principal investigators, Sponsored Projects, and collaborating institutions regarding subaward administration.

9. Maintain tracking systems for sponsored research agreements, contracts, deliverables, reporting requirements, renewal dates, and project milestones. Coordinate with principal investigators and appropriate University offices to facilitate the timely completion of required actions.

10. Coordinate hiring and appointment processes for grant-funded personnel, including research staff, postdoctoral scholars, graduate assistants, and student employees. Prepare and process personnel-related documentation associated with sponsored projects.

11. Assist principal investigators and research administrators in monitoring sponsored project accounts and maintaining accurate project records using University financial and research administration systems.

12. Prepare administrative, financial, and project status reports for principal investigators, college leadership, and other University offices as required.

13. Serve as a liaison among principal investigators, College administration, Sponsored Projects, Human Resources, Payroll, the Graduate School, and collaborating institutions to support the effective administration of sponsored research projects.

14. Develop and implement administrative procedures, tracking tools, and reporting processes designed to improve the management, coordination, and oversight of sponsored research activities within the College of Pharmacy.

15. Assist with pre-award grant administration activities, including proposal development and submission, as assigned.

OTHER DUTIES AND RESPONSIBILITIES:

1. Assist in the preparation and coordination of research-related workshops, training sessions, and special events.

2. Initiate and prepare personnel action forms and other administrative documentation as required.

3. Assist in the collection, organization, and analysis of data for college research reports, strategic planning initiatives, accreditation activities, and other institutional reporting requirements.

4. Participate in professional development and training activities related to research administration, sponsored programs, financial management, and regulatory compliance.

5. Perform other duties and responsibilities as assigned.

LICENSES, TOOLS, AND EQUIPMENT:

• Personal computers, printers, telephones, and standard office equipment.

• Microsoft Office and Microsoft 365 applications, including Word, Excel, Outlook, Teams, and related applications.

• Research administration, financial management, human resources, payroll, and enterprise resource planning (ERP) systems, such as InfoEd, Workday, PeopleSoft, or similar systems.

• Database management, reporting, spreadsheet, financial analysis, and electronic document management software.

In 2018 URI produced two Fulbright Scholars, five Boren Scholars, a Truman Scholar, and was named a one of the country’s top Gilman scholar-producing schools. Four campuses, one community

URI’s main campus is located on 1,248 acres in rural Kingston, where the campus core — including a quadrangle surrounded by handsome granite buildings — is listed on the National Register of Historic Places. Six miles from Rhode Island’s beaches, this campus is conveniently situated along the Boston to New York corridor. The University’s renowned Graduate School of Oceanography is located at the 165-acre Narragansett Bay Campus. The Alan Shawn Feinstein College of Education and Professional Studies brings higher education to downtown Providence. Nearby, the 133,000-square-foot Rhode Island Nursing Education Center URI Picture 2includes unparalleled simulation labs. The W. Investing in the future
Since 2007, the University has invested $607 million in campus capital projects, including: a $150 million engineering complex, due to open in 2019; Brookside, another new apartment-style residence hall, 2019; a Welcome Center, 2018; the Rhode Island Nursing Education Center, 2017; Beaupre Center for Chemical and Forensic Sciences, 2016; and Avedisian Hall, home to the College of Pharmacy, 2012.
