General Description / Primary Purpose
The Gift Processing Associate is responsible for receiving, recording, and issuing tax-compliant receipts for charitable contributions to the UNF Foundation, ensuring gifts are processed in accordance with donor intent, University policies, and IRS regulations governing charitable giving.
Job Function
Responsibilities include, but not limited to:
Process and record gifts daily, including online gifts, electronic funds transfers, third-party platform payments, and Gifts-In-Kind
Process recurring credit card and payroll deduction batches
Upload and/or scan supporting documentation regarding the donor, gift, and signed pledge commitments into the constituent relationship management (CRM), Raiser’s Edge
Update constituent records, including name and address changes, salutations, deceased status, and other biographical information
Prepare donor acknowledgment letters and generate gift-related reports
Receive and verify gifts and pledges, ensuring accurate coding, designation, and approvals.
Partner with colleges and departments to obtain information needed for accurate gift recording
Prepare and reconcile daily deposits and generate transmittal reports for Foundation Accounting
Prepares IRS-compliant donor receipts for charitable contributions and drafts donor acknowledgment letters for the signature of the Foundation Executive Director and/or Vice President
Serve as a backup reviewer for gift batches to ensure accuracy and compliance
Conduct donor research and validate biographical information using LexisNexis and other online resources
Maintain the accuracy and integrity of donor data in Raiser's Edge and serve as the primary custodian of funds received by Advancement Operations
Marginal Functions
May serve on the Search & Screen Committee for Director-level and above positions.
May represent the university on local, system-wide, or state committees.
During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off-campus location or place of residence.
