Job Summary:

The Locksmith Specialist is responsible for managing the university’s key control program within the Capital Planning & Facilities department. This position serves as the administrative and operational specialist for the Facilities key control and lock management program. This position oversees the issuance, tracking, recovery, and inventory of keys and lock cores for campus facilities. The Key Control/Training Specialist works closely with Facilities maintenance staff, project managers, and campus departments to ensure building access is properly controlled and documented while supporting maintenance operations, renovations, and construction projects. And other duties as assigned.

Duties and Responsibilities:

  • Administer and maintain the Facilities key control program for all campus buildings.
  • Issue, track, and recover physical keys and lock cores in accordance with university policies and Facilities procedures.
  • Maintain accurate records of key assignments, lock cores, and key inventory using key control databases or tracking systems.
  • Process and coordinate key requests and approvals from campus departments.
  • Coordinate with Facilities locksmiths, maintenance staff, and contractors on lock installations, re-cores, and hardware replacements.
  • Support Facilities work orders related to door hardware, locks, and building access.
  • Assist project managers and contractors with keying plans and building access for renovation and construction projects.
  • Conduct regular key audits and inventory reviews to ensure accountability of issued keys.
  • Track and document lost or unreturned keys, and coordinate lock changes when necessary.
  • Maintain secure key cabinets, storage systems, and lock core inventory.
  • Coordinate access needs during department relocations, building openings, and facility transitions.
  • Work with Facilities leadership, Housing, and Public Safety to maintain appropriate building access and security.
  • Maintain accurate documentation to support facility security and operational needs.
  • Additional Responsibilities
    • Assist in maintaining and updating Facilities key control policies and procedures.
    • Generate reports related to key inventory, lock cores, and key assignments.
    • Provide guidance to campus departments regarding proper key request and return procedures.
    • Support emergency or after-hours access coordination when necessary.

Perform other Facilities-related duties as assigned.

Required Minimum Qualifications:

  • High school diploma or equivalent.
  • Experience in facilities operations, maintenance support, inventory control, or administrative coordination.
  • Strong organizational and recordkeeping skills.
  • Ability to maintain accurate documentation and inventory records.
  • Strong communication and customer service skills.
  • Ability to maintain confidentiality regarding building security and access information.

Preferred Qualifications:

  • Experience working in facilities management, maintenance departments, or physical plant operations.
  • Experience with key control software, CMMS systems, or facilities management databases.
  • Knowledge of commercial door hardware and locking systems.
  • Experience in a university, government, or institutional facilities environment.
