Stanford Department of Obstetrics & Gynecology’s mission is to improve women's health through innovative and compassionate care, education, advocacy and discovery. Our faculty is committed to the highest level of basic and clinical research in Obstetric and Gynecologic science. In particular, we are focused on innovative translational medicine; bringing scientific results from the bench to the bedside.

To support the department’s growing research portfolio, we are seeking a detail oriented, hardworking, and highly motivated Research Administrator 1 to work under guidance in a dynamic, multidisciplinary environment to manage the proposal preparation and post award activities on projects varying from federal grants and foundation grants to simple industrial contracts. The ideal candidate has strong attention to detail, great communication skills, and the ability to collaborate with diverse stakeholders. In this position you will have the opportunity to learn and grow through various internal and external collaborations within the Department of Obstetrics & Gynecology and have a crucial role in supporting the science of women’s and reproductive health.

DESIRED QUALIFICATIONS:

  • Prior research management and/or financial experience is preferred
  • Experience managing projects funded by the National Institutes of Health (NIH)

 

PHYSICAL REQUIREMENTS*:

  • Frequently sit, grasp lightly, use fine manipulation and perform desk-based computer tasks, lift, carry, push and pull objects weighing up to ten pounds.
  • Occasionally stand, walk, grasp forcefully, use a telephone, write by hand and sort and file paperwork or parts.
  • Rarely lift, carry, push and pull objects weighing 11-20 pounds.

Responsibilities

Core Duties:

  • Assist in the preparation of routine proposals within parametersof sponsored and non-sponsored research guidelines. Coordinate andcommunicate submission process, both paper and electronic; reviewdocuments for completeness and compliance.

  • Develop, prepare, and finalize project budgets, and providebudget justification

  • Serve as liaison and active partner between principalinvestigators, Office of Sponsored Research, research groups, and otherdepartments; respond to sponsor inquiries.

  • Collaborate with Office of Sponsored Research to ensure awardsare set up properly, including cost-sharing awards ifapplicable.

  • Review and understand the terms and conditions of sponsoredprojects administered, including linked/footnoted terms and conditionsnot provided in hard copy or electronic copy.

  • Initiate expenditures; monitor post award spending and commitmentactivity. Review and certify monthly expenditure statements, andfacilitate quarterly review by principal investigators.

  • Download and monitor reports supporting project status, and useforecasting and decision aides under guidance.

  • Participate in contract closeout process and audit inquiries;submit final reports and certificates.

  • Coordinate and organize events, such as conferences, meetings,site visits, or sponsor reviews, related to sponsored projects asneeded.

  • Participate in and contribute to process improvements and groupprojects.

Minimum Education andExperience

Bachelor’s degree and one year of job-related experience, orcombination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Ability to learn and stay updated about university and governmentpolicies (FAR, Cost Accounting Standards, Office of Management andBudget circulars, sponsored guidelines, etc.) to properly administersponsored projects.

  • Demonstrated understanding of terminology, such as compliance,title, sub-contractor, consultant, audit, and accountingreview.

  • Willingness and ability to understand and interpret universitypolicies and procedures.

  • Excellent oral, written, and verbal communicationskills.

  • Excellent analytical skills; demonstrated expertise in Excel andweb-based tools.

  • Strong accounting skills; knowledge of basic accountingprinciples.

  • Ability to complete Cardinal Research Administration FoundationalTraining (CRAFT) I and II while in position.

  • Extreme attention to detail.

  • Ability to work well independently, but also to seek assistancewhen needed.

  • Excellent time management and organizational skills.

Certificates and Licenses Required

Cardinal Research Administration Foundational Training (CRAFT) I andII must be completed to remain in this position.
