Job Summary:

The Physician Assistant (PA) Program Operations Coordinator will be actively involved in the PA program and will assist the program director with the oversight and implementation of projects that support the program’s mission, vision and goals. This position, reporting to the PA Program Director, will have responsibilities that support the business and operational efforts of the program. Commitments to student achievement and success; collaboration within the PA program, across the College and the community; and diversity and inclusion are crucial to this role.

Supervision: Reports to Program Director

Essential Duties:

  • Reception responsibilities: receive visitors at the front door by greeting, welcoming, directing and announcing them appropriately; manage calls and emails to main phone line/email; pick up mail/packages from main campus and deliver downtown.
  • Work closely with Program Director to set and/or implement program policies, procedures and systems and to follow through with implementation.
  • Maintain program documentation in compliance with ARC-PA and NY state standards and submit changes/updates through the ARC-PA portal.
  • Communicate all operating policies and/or issues at department meetings.
  • Maintain relationship with landlord.
  • Plan and organize all program and learner events (e.g., accreditation site visits, annual retreats, preceptor events, orientation week, white coat ceremonies, graduation).
  • Report, coordinate and track building facility maintenance, repairs and cleaning schedule to maintain a safe and comfortable environment for building occupants and visitors.
  • Work closely with the Office of Public Safety and Emergency management to ensure all emergency protocols and procedures are documented and communicated.
  • Maintain a safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations.
  • Oversee building access and report changes to main campus security.
  • Schedule and manage meeting and classroom space availability for downtown building.
  • Schedule, coordinate and direct non-admissions tours.
  • Manage program hiring process; including the creation of job descriptions, advertising the positions, reviewing documentation, coordinating all interviews, and onboarding.
  • Maintain all faculty and staff records (employment contracts, current CV, certifications, licenses, faculty and staff development records, CME funds).
  • Maintain program website.
  • Hire, train and supervise student employees.
  • Schedule appointments and maintain calendar for the Program Director.
  • Develop and maintain program calendar.
  •  Works with Program Director on other special planning and program projects as assigned.
  • Act as a liaison between learners, faculty, staff and other IC departments/offices
  • Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, learners and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.
Qualifications:

Minimum Bachelor’s Degree in Management or related field or an equivalent combination of education and  experience in administration and/or management. Excellent written and oral communication skills .Proficient in the use of Microsoft programs such as Word, Excel and Outlook. Ability to work collaboratively with diverse populations. Ability to proficiently use standard office equipment, including copier, scanner and telephone. Ability to coordinate multiple assignments while meeting required deadlines. Ability to create and maintain an accurate and organized filing system. Ability to maintain discretion and confidentiality.

Work Environment:

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment.  The incumbent will be required to use a personal computer and associated equipment as well as other office equipment used in the day-to-day operations.  The incumbent may need to deliver various materials on campus requiring the ability to walk or drive or make other travel arrangements.
