Position Description:
Under the direction of the Business Manager at the National Center for Research on Evaluation, Standards, & Student Testing (CRESST) housed within the School of Education & Information Studies the Accounting Associate (FINANCIAL SVC ANL 2) will be responsible for administering Sales and Service portfolios with main focus on Higher Education Research Institute (HERI), a sub-unit in a large Center with multiple extramural funding sources. The incumbent will manage heavy financial transactions, including customer care and perform reconciliation of accounts, set-up of agreements, processing and tracking Accounts Payable and Receivables, payments to vendors, managing the Purchase Order process, and ensuring Accounts Receivable funds are booked, deposited, tracked, and allocated properly. Adhere to the fiscal closing guidelines of the university.

Major responsibilities include.
Serve as Financial point of contact for Higher Education Research Institute (HERI). Monthly reconciliation of university ledgers; entry of revenues, payments and expenses into HERI registration and financial database systems; preparation of various monthly and periodic financial reports. Scope of financial responsibility includes accurate budget tracking and reporting for HERI and Center's financial activities of $1.5-$10 million and recharges/accounts payable. Serve as the financial generalist for the Center to support in other fund management areas. Will also provide direct support to the Sr. Assoc. Center Director and CRESST Business Office Lead administrators in coordinating Sales & Service agreements between the Center and Clients from inception to execution. This includes creating and editing contract language, generating contract number specific to each account, determining payment schedule and amounts, and facilitating signatures off all involved parties. The Accounting Associate will facilitate and manage Purchase Orders process for HERI accounts, responsible for monthly reconciliation of general ledger to identify any discrepancies and track invoices, maintaining records of accounts receivables and payables. Incumbent must have knowledge of accounting and Generally Accepted Accounting Principles (GAAP), with demonstrated ability to set-up new clients in the system, process invoices, track expenses and adhere to budgets and a strong proficiency using various hardware and software programs such as Word (creation of forms and tables, signs, labels, mail merges), Excel (formulas, database function, spreadsheets, data sorts, pivot tables, etc.), PowerPoint, QuickBooks, Outlook calendaring system, and Concur (preferred) travel and entertainment reimbursement software. And other special assignments as the need arise.
