Position Summary

The Michigan State University Athletics Department seeks an Accountant I to join their Business Team. This position will assist with the support of the financial operations for both sports and athletic department accounts. Responsibilities include, but are not limited to:

  • Monitor financial activities of the accounts assigned in order to assist in the basic operational function of the units. This includes preparing correcting entries and answering inquiries from unit directors and coaches.
  • Collect and interpret information in order to produce reports, approve expenditures and provide information for administrators, staff and external agencies. Prepare account spreadsheets for the NCAA report.
  • Maintain the 50/50 winner spreadsheet, submit payment for student groups, set up winners as vendors and process the DV for payment and withholding document if needed.
  • Represent Athletics on the university MSU Travel Advisory Committee.
  • First contact for Concur Travel System. On boarding of new staff, order new travel cards, assist with profile set up. Maintain list of travel cardholders and cancel travel cards when employees leave the department.
  • Travel contact for central accounting – receive and review orphan list, receive the outstanding transactions spreadsheet and distribute to the fiscal officers
  • Work with the non-sport units to clear outstanding travel transactions.
  • Review travel expense reports submitted for assigned sports. Assist units with Concur questions and travel policy questions.
  • Assist with compiling records and submitting bills for payment (which includes vendor set up and maintenance).
  • Handle department cash receipts and ensure they are deposited in accordance with the MSU Manual of Business Procedures, including petty cash. Maintain the check received log. Send sponsorship information to University Development.
  • Manage check out and check in of the department credit card machines. When machine is returned review reconciliation form for accuracy. Prepare entries to move the credit card payments to the correct accounts.
  • Maintain the Business Office SharePoint site. This involves updates and adding important announcements such as year-end deadlines.
  • Ensure financial records are reviewed timely and supporting documentation maintained.
  • Serve as primary delegate for various department accounts.
  • Serve as backup to all business office functions, including payroll.
  • Assist in ensuring the procedures provide adequate internal controls.
  • Other responsibilities/duties will be assigned as needed.
Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Accounting; one to three years of related and progressively more responsible or expansive work experience in financial statement and report preparation, general ledger accounting and budgeting; or an equivalent combination of education and experience.

Desired Qualifications

Proficiency with Microsoft Office applications including Excel, Word and Outlook. Experience with EBS, specifically (but not limited to): initiating edocs, vendor setup and maintenance, payroll entry and Business Intelligence (including familiarity with basic reports). Experience with Concur Travel system and knowledge of MSU Travel Policies. Extensive experience with account review and operating statement reconciliation. Knowledge of University policies and procedures and ability to work with others to ensure those policies and procedures are followed. Familiarity with various types of internal controls. Ability to problem solve, be a self-starter and work independently. Positive attitude and willingness to be part of a team and provide assistance, as needed, to other team members with a wide variety of tasks.
