The University of St. Thomas, Enrollment Services, seeks an Admissions Visit Coordinator.
The admissions visit coordinator (AVC) is responsible for managing the entire visit function within the admissions office. Visits are considered the primary exposure to an institution that results in either a positive or negative impression and therefore enrollment or loss of a student. As a tuition driven institution, this enrollment is critical to the $44,000,000 in revenue that is required from the admissions office to continue to operate St. Thomas at a consistently high level.
The visit coordinator works as part of a "front office" team and is required to be able to function as both the enrollment operations manager (supervisor) and the admissions receptionist (co-worker) in addition to the AVC own role. The AVC provides support for the AVP, Directors and Associate Directors relative to data management and analysis.
The AVC is responsible for hiring, training, and supervising student workers in all aspects of their work related to the front office of admissions and the visit process.
The admissions visit coordinator manages the process of over 5,600 student visits and over 10,000 unique appointments to the University. To do this well, the visit coordinator must be an expert at customer service when working with, not only prospective students and their families, but with faculty, coaches, Tommie Ambassadors and other staff members who are involved in student visits. In many ways, the visit coordinator is the "face" of the admissions office.
In conjunction with the Enrollment Operations Manager (supervisor), the AVC is the lead for designing, planning and executing the larger visit days including, but not limited to Tommie Spirit Saturdays, Tommie Combo Nights and President's Day visits. These days can easily involve numerous activities for up to 100 students plus their families on any given day.
In addition, the AVC plans, schedules, and conducts our small group visits and assists the Associate Director with large group visits.
This position requires knowledge of purchasing, encumbering funds for the division, reconciling accounts, processing deposits and reconciling enrollment paperwork for all new students.
The admissions visit coordinator must manage all technical systems of visits and the daily visitor process including, but not limited to, using Banner, multiple custom web based applications, Appworx, Cognos, Lyris. Along with the daily work in these applications, the AVC is responsible for analyzing current business processes and developing new applications/technical tools in conjunction with the technical staff to better serve our customers.
1 year of related experience; exceptional organization, administrative and communication skills; strong computer proficiency especially with Word and Excel; strong customer service focus; ability to manage multiple projects simultaneously. Bachelor’s degree required.
