Sr Event Planner
Posting Description: *Who We Are* UMC Events Planning & Catering is a full-service event planning resource for CU and the Boulder area. From our beautiful outdoor locations with spectacular views of the Flatirons to the largest ballroom in Boulder, we have the perfect space for any event. Our full-event support staff helps clients produce events from the planning stage to the finishing touches. *Key Responsibilities* The Sr. Event Planner leads the event contracting process: _Initiates contract process_ Oversees sales contract process involving student organizations, University Departments, Non-University customers, and other vendors and ensures insurance requirements are met per the Universities Risk Management Department. _Reserves Meeting Spaces Within the UMC and Non-academic spaces on campus for large, multiple venue,or VIP events_ Position schedules large, multiple venue, or VIP events, including weddings. Position schedules UMC and non-academic scheduling spaces using the EMS Scheduling systems and R-25 software programs or customer's reservation requests for all eligible student organizations, University departments, University organizations and the Boulder community at large. Ensures completed room reservation information is provided to the customer and the appropriate university departments. _Handles Large or VIP Client Catering Requests_ Position schedules large, multiple venue, and VIP events including weddings. Position handles large or VIP client catering requests for a wide variety of meetings and events. Position advises client on menu options that best fits their needs and budget. Information is entered into the EATEC software and information is distributed to the appropriate UMC department such as the production kitchen, bakery, and Catering Operations _Supervises 1.5 FTE Student Hourly Staff_ Position supervises 1.5 FTE student hourly staff positions including hiring, training and supervising student staff. Position determines daily work assignments as well as advises and offers alternatives actions to meet intended goals , as well as, to meet the mission of the department. Position performs performance evaluations and administers corrective actions when needed in consultation with Area Manager. _This position also:_ Works closely with UMC Events Billing Coordinator to ensure daily billing is accurate and complete before forwarding billing on to the UMC Business office. Position works closely with UMC Events Billing Coordinator to ensure accuracy of the SOSFO data base at the beginning of the Academic year. Updates operation manuals and trains staff on new procedures and policies to ensure compliance and expected outcomes are met. Assists staff with event setup or catering support- Position will be expected to assist setup staff with event setup and support Catering Operation staff as needed to ensure success of events. Sits on committees as necessary such as the UMC Diversity committee, UMC MAG committee, CAS assessment committee, Events Planning marketing committees and etc. Position may be required to perform other administrative duties as assigned by upper level supervisors. *What we can offer:* $38,000 per year, paid monthly The University of Colorado offers excellent benefits, including medical, dental, retirement, paid time off, tuition reimbursement and ECO Pass. Minimum Qualifications: *What We Require* - A bachelors degree from an accredited college or university - 2 years experience in event management or food service catering operations or a combination of both - Experience in the use of a scheduling or food service software system (i.e. EMS, R-25, Eatec, etc)
