Responsibilities
Provides administrative support to the department Chair. Reviews and handles Chair's correspondence; maintains Chair's calendar; and keeps Chair informed of all deadlines and meetings. Assists with the coordination and compilation of materials for faculty promotion and tenure processes, assignments of responsibility, and annual faculty evaluations.

Responsible for compiling materials for and maintaining files for 12-hour compliance and faculty evaluation files; organization of annual departmental faculty workshop and colloquia; and organization of faculty recruitment process. Acts as department's time/leave coordinator, to include maintaining files for time sheets, and is responsible for leave audits. Assists the department's Grants Compliance Associate with fiscal duties, including posting expenditures on grant spreadsheets, and serves as backup purchasing representative. Serves as travel representative for department, to include processing travel authorizations, expense reports, non-travel reimbursements, and making hotel and airfare accommodations. Responsible for keeping inventory and ordering office supplies, including supplies for copier, fax, and printer. Incumbent must obtain travel card. Responsible for answering telephones and greeting visitors. Serves as key manager for the department and assists with use of office equipment.

Qualifications
A high school diploma/equivalency and three years of experience. (Note: post-high school education may substitute for experience at an equivalent rate.)

Client/customer service experience; knowledge of proper office procedures and etiquette. Ability to work professionally with the public, staff, faculty, and students; establish work priorities; and communicate effectively verbally and in writing.

Experience working with detailed information. Ability to plan, organize, and coordinate work assignments to meet deadlines; multitask; and gather, interpret, report, and use information concerning assigned activities. Computer skills to include experience with Microsoft Word and Excel or comparable software.

Anticipated Salary Range
Anticipated hiring salary, low to mid-twenties.

Background Check Requirements
This position requires successful completion of a criminal history background check to include fingerprinting.

Pay Plan
This is an USPS (University Support Personnel System) position.
