GENERAL DUTIES

Provides administrative support to a Campus or University Executive.

- Coordinates office operations such as meetings, communications, events, and reports.

- Maintains extensive files and records for the unit.   

- Maintains accurate calendars, schedules, and key dates.

- Collects data for, prepares, and distributes reports and presentations using appropriate technology.  Runs basic system queries and reports to provide data.

- Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

- Provides clear communications on the Executive's behalf both within and outside the unit.

- May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

CAMPUS SPECIFIC INFORMATION

The Office of Academic Affairs at Eugenio Maria de Hostos Community College is seeking a highly organized administrative professional to serve as Administrative Executive Coordinator. The candidate will report to the Executive Assistant to the Provost and serve as support to the Provost's Cabinet.

The successful candidate will be responsible for the following:
- Provides a broad range of confidential support services for the Office of Academic Affairs.
- Maintains a thorough understanding of division goals, needs and processes.
- Anticipates needs and provides direct administrative support to an executive team.
- Drafts memos, letters, e-mails, presentations, and other documents as needed.
- Plans, organizes, and implements administrative projects.
- Designs and updates office informational material.
- Develops OAA online presence; writes, edits, proofreads, and updates website content.
- Maintains schedules and calendars.
- Coordinates meetings, events, and travel.

MINIMUM QUALIFICATIONS

Bachelor's Degree required.

OTHER QUALIFICATIONS

The following qualifications are preferred:
- Demonstrated interest in the field of higher education
- Strong writing and editing skills
- Proven ability to take a project from inception to completion
- Proven ability to prioritize tasks and initiate follow-through with meticulous attention to detail and high level of accuracy
- Demonstrated ability to work both independently and as a member of a team, show initiative, solve problems, handle multiple tasks, remain calm under pressure, and relate well to staff at all levels
- Working knowledge of PC-based work processing and other applications, including Power Point, Excel and Publisher
- Availability to work evening hours
- Bilingual skills in English and Spanish

COMPENSATION

$35,576 - $43,662

CUNY offers a comprehensive benefits package to employees and eligible dependents based on job title and classification. Employees are also offered pension and Tax-Deferred Savings Plans.  Part-time employees must meet a weekly or semester work hour criteria to be eligible for health benefits. Health benefits are also extended to retirees who meet the eligibility criteria.
