Department Summary: The Center for STEM Diversity (CSD) is an umbrella organization that develops best practices and creates new programming designed to increase recruitment and retention of under-represented students in the science, technology, engineering and mathematics majors. The center interfaces with undergraduates, graduate students, faculty and staff.
Job Summary The Staff Assistant will assist with executing currently existing programming/events in the Center for STEM Diversity. Maintain accurate and detailed financial accounts for the center and student organizations associated with it, including budget reconciliation and balancing the budget. Provide general office procurement (i.e. supplies, etc.) Maintain the calendar and schedule meetings for the Director. Arrange travel and provide reimbursements for Director, Program Administrator and students. Send targeted announcements (scholarships, conference announcements, etc.) to students, faculty and staff. Maintain and update the CSD Internet presence (website, e-mail, social networking). Create, maintain and update the Alumni database. Take detailed minutes at appropriate meetings. General office work including answering phone calls, making copies, filing receipts, sending main and faxes, maintaining schedules, reserving rooms and ordering refreshments for meetings.
High School diploma/GED and 2 to 4 years of administrative experience or a college degree with 1 to 3 years of job-related experience or Bachelor's Degree with 1 year of job-related experience. Proficiency in Microsoft Office suite, including word processing, editing, graphics, spreadsheet and database knowledge. Willingness to learn Thinwire. Bookkeeping or basic accounting knowledge. Strong organizational skills and an ability to interface with undergraduates, graduate students, faculty and staff.
Strong oral and written communication skills, and excellent time management skills. Must be comfortable working with confidential information and requests pertaining to students. Has an understanding of the challenges under-represented students in the STEM disciplines may face, and be one potential point of contact for them. Has the ability to reconcile and present financial reports on multiple groups within the CSD. Previous administration work experience.
