Highly experienced UC-experienced PPS & TRS Processor to perform the following duties in the absence of Student Housing''s Personnel Analyst:

Payroll/Personnel Processing & Reporting
A.  Independently responsible for processing all Student Housing payroll and personnel actions using the Web Employee Database System (EDB) and Payroll/Personnel System (PPS) for about 200 career, limited term and contract employees and approximately 400 student staff.

B.  Responsible for processing all appointment types including, but not limited to: career, contracts, limited term, international, BYA and student appointments. Prepare payroll   transactions for monthly & bi-weekly payroll, late-time reporting, additional pay, time reduction, intercampus and one-time payments, separation paychecks, adjustments for retro-active payments. Also update the PPS system with changes in leave accrual codes, reclassifications, equity & merit adjustments.

C.  Prepare all paperwork and online processes related to hiring, leave of absences, salary adjustments, and termination. Determine appropriate action for entering correct title code, % of time, ending date, funding changes, etc. Provide support to Housing supervisors and managers for all aspects of employment, retention, and termination of employees.  Maintain proper documentation and obtain approvals for all PAN activity.

D.  Responsible for maintaining appropriate documentation in employee personnel files. Manage personnel files and information in a strict confidential manner. Maintain security of all personnel files ensuring compliance to University and departmental policies and procedures at all times.

E.  Research and analyze payroll-related problems, confer with central Payroll Department and make recommendations for resolution.

F.  Annual coordination of the performance evaluation process for the department. Advise supervisors of deadlines, analyze submitted evaluations for completion to determine consistency with overall ranking; determine needs and follow-up with supervisors to correct inconsistencies and provide advice to supervisors on any required follow-up action. Code overall performance codes in the PPS system and maintain   copies of performance evaluations in employee personnel file according to University policy.

G.  Independently prepare forms and materials in support of all personnel transactions from initial employment to separation. Review employment documentation and ensures that all documentation is complete, accurate and conforms to Housing and University policies & procedures.

H.  As the Departmental Timesheet Administrator (DTA), audit and reconcile electronic Time  Reporting System for bi-weekly and monthly payroll periods to assure vacation and sick leave time reports are processed accurately and in a timely manner for all employees.

I.   Ensure background checks have been completed within a reasonable time after hire for all applicable personnel changes according to Student Housing policy/procedure and document successful completion of process in personnel file.

J.  Coordinate and conduct large group student employee sign-ups and orientation.

K.  Ensure all new and returning employees are provided with applicable resources and are informed about employment policies at the time of payroll/personnel sign-up. Distribute   training checklist to appropriate professional staff positions, inform all new hires of new staff processes to complete including new staff orientation, UCINetID sign-up process and Request Access to Financial Systems.

L.  Serve as liaison to Payroll, Benefits, EH&S, International Service and other applicable external and campus partners related to payroll matters.


2. Human Resources & Benefits
A. Serve as departmental liaison on Workers Compensation issues and disability leaves. Review and prepare Workers Compensation forms and act as liaison with employee and the central Workers Compensation Representative. Counsel employees planning leaves  of absence due to maternity or other disability issues.

D. Oversee administration and facilitate disability management services and compliance process concerning the Family and Medical Leave Act (FMLA) and the California Family Rights Act (CFRA); provide guidance and referrals as appropriate. Monitor and advise supervisors and claimants of work status and restrictions. Coordinate with WC/Disability RTW consultant regarding return to work program.

E.  Determine vacation and sick usage for employees on disability, complete necessary documents and coordinate salary continuance with campus Benefits Office. Update PPS with appropriate Leave of Absence Codes.

F.  Assist in departmental recruitment processes by providing managers and supervisors with information about the UCI Hiring Manager process and by explaining applicable policies & procedures that each hiring manager is required to follow.

G.  Serve as the Student Housing Benefits Representative and as a resource for all Housing  staff. Advise staff of Open Enrollment and communicate essential information and deadlines to employees during this period. Maintain applicable benefits forms and information as required by the University.  

Salary: Ranges depending on the classfication of the temporary assignment.

Work Schedule: 8-5, M-F

Floater Position.
