Job Description Summary
Assists management, faculty, staff and students in the organization and operation of a program within the assigned department/division.
Assists with planning and implementation of projects such as advisory meetings, special reports and special marketing events.
Assists in developing program brochures, databases and other materials to meet program needs.
Organizes and maintains department files, student records, room usage schedules, department activity calendar, forms, mailing list, reports, and others as determined by the manager, sing appropriate computer software and by entering data into the Banner system.
Prepares schedules, reports, marketing packets, correspondence, forms and other information, using computer software, the Banner system and the Internet.
Proofreads all work for errors.
Coordinates and arranges schedules, meetings and appointments when appropriate, prepares agendas, reserves and prepares facilities.
Attends meetings, takes notes and prepares minutes
Assists in the control, care and inventory of departmental property, supplies, office equipment including printers, fax machine, scanner and copy machine, requests repair as needed.
Greets visitors and prospective students, responds to requests for information, places phone calls, screens, logs and relays all phone calls and handles all mail.
Anticipates and meets all customer needs accurately, professionally, and with a commitment to customer satisfaction.
Performs other related duties as assigned.
High school diploma or GED
Minimum of two years of previous office or program support experience.
Skills in keyboarding and basic word processing (MS Word)
Ability to comprehend instructions, short correspondence and memos.
Ability to prepare routine correspondence.
Ability to effectively present information one-on-one and small group situations to customers, clients, and other employees of the organization.
Excellent verbal and written communication skills
Sensitivity to respond appropriately to the needs of a diverse population
