Under general supervision of the Senior Associate Director for the Master of Professional Accountancy (MPAc) Program, responsibilities include supporting recruiting activities, interacting with prospective students and applicants, managing application files and admissions process. General office duties include mail distribution and maintaining inventory of supplies and marketing materials, and handling reimbursements. Position requires the interpretation and implementation of University and Department admissions policies. Knowledge of UC and UCI admissions policies and procedures preferred.
Salary: Hourly $19.65 - $20.56
Work Schedule: 8-5, M-F
Some evening and weekend work required.

Job Essential Function 1
Percent of Time: 40%
COMMUNICATION WITH PROSPECTIVE APPLICANTS:
Communicate with prospective MPAc applicants in person and on the phone from all over the world, advising them on MPAc Program admissions requirements and answering general questions, as well as directing inquiries to appropriate staff.
Assist prospective applicants in resolving problems regarding application materials and admissions process.
Respond to MPAc inquiry email box regarding admissions and application questions.
Enter data on prospective students into CRM system, updating data as needed.
Upload lists of MPAc prospects into CRM system.
Assist with the planning and preparation for on-campus, national and international recruiting events for the MPAc program. Prepare recruitment materials for each event, shipping materials when necessary.
Some attendance at evening/weekend information sessions and recruiting activities may occasionally be required.
Upload candidate lists after all MPAc recruiting events into CRM system.
Coordinate all application fee waivers for candidates who attended MPAc events.
Job Essential Function 2
Percent of Time: 40%
INDIVIDUAL APPLICANT FILES:
Provide a high level of customer service to approximately 600 applicants, monitoring application materials and communicating with applicants on the status of their applications throughout the admissions process, including after the decision has been made.
Sort mail and file with appropriate file or in loose document files.
Prepare applicant files for review, interview and Admissions Committee by assessing admissions eligibility, computing GPAs, completeness of files with regard to application forms, GMAT scores, transcripts, letters of recommendation, essays, and other supporting documentation. Enter/upload complete application information into Catalyst system and send invitations for interviews or initial admissions decisions.
Collect candidate files to be considered for weekly admissions committee, create admissions spreadsheet, copy all candidate resumes and deliver to Faculty Director, Program Director of MPAc, Sr. Associate Director of MPAc, and Associate Director of Career Services of MPAc, one-day prior to admissions committee.
Send official admissions emails after admissions committee to candidates with deny and waitlist decisions.
Manage Graduate Division "ACR" packets and exceptions including copies of Letters of Recommendation, admission letter, official transcripts and degree confirmations, and calculate GPA as necessary.
Manage the organization and sending of Welcome Packages to domestic and international candidates admitted to the program.
DRIVE ADMISSIONS PROCESS:
Develop and maintain a system to track and review, in a timely manner, all applicant files.
Manage applicant filing system.
Provide the UC Irvine Graduate Division appropriate documentation on all applicant files.
Supervise student workers; ensure student staffing is sufficient to address workload during peak periods.
Job Essential Function 3
Percent of Time: 20%
GENERAL MANAGEMENT AND OUTREACH:
General office management for the MPAc office.
Mail distribution for MPAc Office.
Provide general administrative support to the MPAc Program and Recruitment and Admissions staff on projects, events, and other activities as assigned.
Provide MPAc support including managing schedules, coordinating area and networking lunches.
Answer the phone of the MPAc office main telephone line.
Manage inventory of office supplies and print marketing pieces.
Process event reimbursements, ambassador/candidate expense reimbursement requests, travel reimbursements, tuition deposits, etc.
Approves parking and room requests for all on-campus interviews and candidate class visits/consultations (approx. 250).
Provide assistance on marketing materials and emails by confirming admissions guidelines and checking for typos.
Assist with reading/evaluating applications as needed.

Working knowledge of Microsoft Office products, including MS Word, Excel, and Access software. Experience using databases.

Knowledge of UC and UCI policies and procedures, UCI academic and student support services, Academic Senate Rules and Regulations, and Family Rights Privacy Act.
Knowledge of the mission, philosophy and curriculum of the MPAc program, the Paul Merage School of Business, and UCI.
Administrative experience in an academic/educational setting.
