GENERAL SUMMARY OF POSITION: 

 

Under the general direction of the Vice Chancellor of Development or designee, the Director of Alumni, Parent Relations provides leadership and direction for the Alumni Relations and Parent Relations programs for the School of Medicine, Graduate School of Nursing and Graduate School of Biomedical Sciences at the University of Massachusetts Medical School.  The Director is responsible for the development and implementation of programs, communications and special events to engage alumni and parents of the University.

MAJOR RESPONSIBILITIES:

  • Develop and implement strategic plans related to Alumni Relations and Parent Relations and Development events, managing all aspects of both programs and special events for the UMass Medicine Development Office providing opportunity to enhance the relationships with the institution’s donors and friends
  • Perform comprehensive analysis of all aspects of the alumni and parent programs and Development events.  Evaluate current programs and make recommendations as needed to improve participation, support and effectiveness of events
  • Prepare budgets, implement and control finalized budgets to ensure sound fiscal management
  • Supervise alumni and parent program and event staff including hiring, training and performance evaluations
  • Design and implement comprehensive Alumni Relations and Parent Relations communications and marketing programs, including brochures, event communications, alumni and parent newsletters, and all other alumni communications in magazines, department websites, etc.
  • Manage the development, administration and marketing of the alumni online community and all electronic modes of communication, ensuring that all content is focused, accurate and timely
  • Design, implement, and manage alumni and parent programming and events to increase alumni and parent participation, involvement and awareness
  • Identify, engage, recruit and manage Alumni Association and Parent Association volunteers, including the Parent Executive Committee
  • Responsible for the integrity of alumni and parent information in the Development database
  • Work closely with the deans of the School of Medicine, Graduate School of Nursing and Graduate School of Biomedical Sciences to define strategic goals and develop successful programs to implement those goals
  • Design and manage all event forecast plans, day of logistics plans and event follow-up plans
  • Manage event requirements and logistics of high level Development events, negotiating options and projecting and adhering to event expectations
  • Develop goals and objectives for event committees, supervising volunteers and corporate sponsors, facilitating meetings and leading committees towards successfully completing the established goals and objective of event
  • Identify, negotiate and manage relationships with external vendors to coordinate goods and services for special events
  • Work closely with the Chancellor’s Office to manage and implement high level donor events at UMass Medical’s Grenon House
  • Work closely with development staff, school leadership, student leadership, the University President’s Office, faculty, staff and volunteers
  • Perform other duties as required



REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in a related field, or equivalent experience
  • 5 years of demonstrated experience in alumni relations or related role
  • Proven ability to establish and maintain strong working relationships in a volunteer-driven, customer-service environment
  • Strong project management background, working with human, financial, and logistical resources and constraints
  • Highly organized with excellent follow-up skills and close attention to detail
  • Computer skills including e-mail, electronic scheduling, communications management, word processing, spreadsheet and databases
  • Ability to coordinate teams of individuals and motivate them toward a common goal
  • Outstanding skills to prepare reports, strategic project plans, proposals, and copy for publication
  • Ability to handle multiple tasks concurrently with no loss of productivity or effectiveness
  • Ability to work some evenings and weekends to support events
  • Ability to travel to off-site locations
