Job Summary

The University of St. Thomas Executive Education invites applications for an Open Enrollment Relationship Coordinator.

At the direction of a program director and program managers, the Open Enrollment Relationship Coordinator will manage the relationships with potential customers towards the increased enrollment needs of executive education programs offered in either open-enrollment or custom formats. This position will be responsible for working collaboratively with program managers, marketing staff, other University personnel, and external vendors to consistently produce both high levels of program leads and high levels of post program delivery customer satisfaction while managing costs and achieving established goals within established program budgets. Additionally, the Coordinator will efficiently utilize the customer relationship management systems and databases of both Executive Education and the University of St. Thomas.

Job responsibilities include:

  • Manage all post-initial contact with open-enrollment program leads to include:
    • Responding to questions and qualifying in-bound leads via email and/or phone.
    • Implementing a consistent contacting process to engage past participants seeking their feedback, encourage referrals, and/or registrations in other programs.
    • Communicating with targeted groups of contacts via email, phone and social media (outbound communication) to create awareness of UST Executive Education programs and encourage registrations.
    • Managing information session communication for the purpose of generating sales.
    • Sharing information regarding the voice of the potential customer and also our past customers.
    • Becoming another support person for open-enrollment programs when the Program Director is unavailable.
  • Work with program director and program managers to continuously implement new manual and automated procedures to decrease costs and improve quality.


Qualifications: Equivalent to a high school diploma and four years of administrative experience or community outreach experience required. Bachelor's degree (or progress towards a degree) preferred.

Candidate should have knowledge in the following areas: Customer relationship management tools (such as; techniques for dealing with the public, in person and over the telephone; basic principles and practices of program administration and event planning; standard office practices and procedures, including filing and the operation of standard office equipment; standard computer applications, including Microsoft Word, Excel, PowerPoint, Outlook, Adobe INDESIGN, and the use of the Internet a research and communications tool; Web maintenance and social media skills; record keeping principles and practices; correct business English, including spelling, grammar and punctuation; basic budgetary practices and expense tracking methods; and professional development training in business setting and the Executive Education suite of programs

Candidate should have skills in the following areas: Outstanding customer service and innovative approaches to interacting with customers; strong interpersonal skills and a professional, pleasant phone manner; using initiative and independent judgment within general policy guidelines; managing details under pressure and in short timeframes, related to events and program coordination; working without close supervision in standard work situations; ability to work on several projects simultaneously directed by different personalities/managers; contributing effectively to the accomplishment of team or work unit goals, objectives and activities; establishing and maintaining effective working relationships with those contacted in the course of the work; using tact, discretion and prudence in dealing with those contacted in the course of the work; appreciation for the unique mission of the University of St. Thomas and Opus College of Business and understanding how this focus affects interaction with our program participants and/or potential clients; maintaining accurate records and files related to customer records; and preparing clear and concise reports, correspondence and other written materials.
