Description


Perform all required duties to ensure the integrity of student academic record data for current students and former students; perform all required duties associated with maintaining and updating academic curriculum data in the Student Information System; perform all required duties associated with schedule of classes data in the Student Information System; perform all required duties associated with the utilization of the document imaging system for student records; perform all required duties associated with maintaining and updating course equivalency and articulation data for external transfer credit and study abroad courses in the Student Information System. This position requires excellent attention to detail and a commitment to accuracy.

 

Key Functions and Expected Performances:

  • Perform all duties associated with entering enrollment transactions into the Student Information System, including drop/add, block enrollment, group registrations, enrollment permissions, course audits, independent study, and registration holds
  • Enter degree audit exceptions into the Student Information System
  • Enter and update student major changes, minor changes, grade changes, and other required data entry related to student course of study
  • Enter external transfer credit for current and incoming students
  • Enter internal transfer credit for dual-degree students
  • Enter study abroad enrollments for current students
  • Maintain study abroad course equivalency database
  • Enter and update student demographic information
  • Utilize the campus document imaging system in support of student records data processing
  • Enter and maintain course catalog data in the Student Information System in support of all Vanderbilt schools and colleges
  • Enter and maintain course scheduling data for current and future terms in the Student Information System
  • Utilize the campus academic scheduling system in support of the academic scheduling process
  • Serve as a point of contact with the academic units for matters pertaining to the academic curriculum and academic scheduling data in the Student Information System and campus academic scheduling system
  • Serve as part of the systems testing team in the Office of the University Registrar in support of systems upgrades, implementations, and general maintenance
  • Assist students, schools and other constituents with issues regarding data maintained by the Office of the University Registrar
  • Serve as back-up for the front desk as assigned
  • Other duties as assigned

 




Basic Qualifications

Preferred Education, Skills, and Experiences:

  • Bachelor's degree strongly preferred
  • Commitment to data integrity
  • Commitment to maintaining confidentiality of records and information and an excellent understanding of the compliance obligations associated with FERPA
  • Outstanding customer service skills
  • Excellent oral and written communication skills
  • Ability to interact in an effective and appropriate manner with diverse populations
  • Skill in the use of personal computers and related software and applications
  • Ability to work successfully under specific calendar deadlines
  • Ability to adjust successfully to changes in work prioritization
  • Ability to work independently and as a member of a team

This position requires High school graduate or GED and 2 years of experience or the equivalent.
