Executive Assistant to the President
Key Responsibilities • Provides high-level administrative support for the President, including drafting and editing of correspondence and handling materials of a confidential nature. • Assists in preparation for meetings including senior management meetings, board meetings, conferences, and conference calls; ensures that materials from staff and other sources are timely and complete. • Maintains the President’s calendar and schedules meetings for the President. • Follows up on assignments as required and ensures that communications with departments is efficient and timely. • Researches and prepares daily briefing materials for the President. • Coordinates travel arrangements for the President, coordinates meeting planning, and handles travel reimbursements for the President. • Maintains all electronic and hard copy files of correspondence, briefing materials, and miscellaneous paperwork. • Logs mail and ensures follow-up responses. • Manages all telephone communications and telephone conferences as required. • Creates and maintains office systems. • Manages department budget, travel, and timesheets. • Other duties as assigned. Qualifications • Bachelor’s Degree, Master’s Degree preferred. • Minimum of five years administrative support and office management experience working with the executive office as well as senior level administrators. • Experience in an academic or nonprofit environment preferred. • Excellent oral, written, and communication skills are required; i.e. the ability to communicate effectively verbally and through written correspondence as well as in communicating with individuals in one-on-one situations. • Excellent editing, proofreading, and computer skills (Word, Outlook, Access, and Excel required); solid judgment and outstanding organizational and communications skills. • Candidates must be able to work with a wide range of constituents, including Academy members, governance committees, the staff of the Academy, and the public at large, in a fast-paced environment. • Applicants should possess impeccable attention to detail, the ability to set clear priorities and work under time constraints, flexibility, diplomacy and creative problem-solving skills.
