Position Focus: Reporting to the Associate Registrar and working closely with the staff in the Registrar's Office of the Yale University Art Gallery, the Museum Assistant provides coordination of all registrarial tasks, a high level of data entry, and administrative support related to the museum's move of collection storage. Under limited supervision and exhibiting significant initiative the Museum Assistant will be responsible for: reviewing and reconciling object lists for collection move; object inventories, including record reconciliation (paper and electronic [TMS] files); data entry [TMS], including updating locations; preparation of shipping manifests; release and receipt of shipments between museum facilities; arrangement of shipments and preparation of documentation for gifts and long-term loans; assisting with accessioning; general administrative tasks, such as scanning, filing, and copying. The successful candidate must have the ability to work in multiple locations in the greater New Haven area.

Principal Responsibilities
1. Serves as source of specialized information to the public, visiting scholars, and students. Explains and describes the collection and available reference material through workshops, lectures and in response to inquiries. 2. Maintains the order of and ensures the special care, security, and proper user handling of collections and exhibits. Reconstructs, repairs, and restores art/specimens using preservation and conservation techniques. Catalogues and makes routine identifications of new acquisitions. 3. Conducts research related to the collections and exhibits. Selects art/specimens for display. Prepares collection for exhibition. May assist with installing and disassembling exhibits. 4. Composes correspondence related to the collections and exhibits. Oversees and instructs support staff. 5. May prepare budget and financial material related to particular collection. May collect specimens for use in exhibits. Performs clerical functions incidental to curatorial activities.Required Education and Experience
Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Required Skill/Ability 1: Ability to work as a team player in a high volume, multi-tasked, deadline-driven environment with a large, diverse team of staff and vendors.

Required Skill/Ability 2: Demonstrated ability to problem solve and exercise independent judgment; ability to work with minimal supervision.

Required Skill/Ability 3: Proven record of excellent organizational skills, detail oriented.

Required Skill/Ability 4: Ability to concentrate, prioritize work and complete complex data entry accurately; Ability to remain focused while performing repetitive tasks and to recognize errors.

Required Skill/Ability 5: Ability to pay close attention to detail, accuracy with numbers, and to follow a standardized procedure for data entry.

Preferred Education, Experience and Skills: Experience with relational databases (e.g. TMS), Microsoft Word and Excel.
