Academic Affairs Coordinator

The Academic Affairs Coordinator provides support to the Director of Academic Affairs and the Registrar within the Office of Academic Affairs at the Hofstra North Shore-LIJ School of Medicine (SOM). This position: 1) facilitates electronic visiting medical student elective enrollment activities; 2) assists in maintaining a Microsoft Access database of all the academic activities of all 1800 faculty members; 3) works within the Qualtrics software system to coordinate electronic annual faculty evaluations across all School of Medicine departments, including the clinical departments of the North Shore-LIJ Health System; and 4) assists the Director of Academic Affairs with faculty appointments and promotions. The successful candidate will exhibit excellent customer service to students, administration and faculty, both internally and externally. This position entails frequent interaction with members and representatives throughout the North Shore-LIJ Health System and the School of Medicine at Hofstra. This position will be expected to travel to external sites throughout the health system. • Processes all electronic visiting student elective requests and notifies students of application decision. • Assists in the coordination of third year medical student selective rotations and fourth year elective rotations. • Informs clinical departments of scheduled student activities and provide students with appropriate orientation details, when needed. • Maintains accuracy of elective and selective course catalogues and website content. • Coordinates annual, electronic faculty evaluations across all departments of the School of Medicine, including the clinical departments of the North Shore-LIJ Health System, and tracks and synthesizes all data within the School’s Microsoft Access database and within the Qualtrics software system to create ad hoc reports and presentations, as needed. • Supports the Director of Academic Affairs with the complex and multi-step, electronic faculty appointment and promotion process. • Responds to high-volume inquiries relating to registrar functions, and prepares requested reports as needed. • Handles sensitive data and all communications with faculty, administration and students in accordance with FERPA confidentiality guidelines. • Works collaboratively, as needed, with other areas of the SOM including the Office of Student Affairs, the Directors of the Advanced Clinical Experience and Preparation for Residency, and the Office of Curriculum Support and Assessment. • Performs other related duties as assigned. Qualifications: • Bachelor's degree and 3-5 years of administrative experience with a focus on customer service. • Proficiency and experience working with an integrated student information system (such as Banner), Microsoft Word, Access, Excel and Outlook, Adobe Acrobat, as well as proficiency in scanning and use of the Internet required; experience with the Visiting Student Application Service system (VSAS) and knowledge of Qualtrics software are preferred. • Registrar office experience preferred; experience in working in a clinical setting or in working with students in an academic setting is a plus. • Ability to multi-task in a fast paced environment is a must. • Must have valid driver’s license and personal vehicle to travel to each meeting site. • Strong personal and professional integrity, and the ability to practice and demonstrate high ethical standards, are essential; an understanding of FERPA is a plus. • Ability to effectively prioritize, attend to detail, and to work well as a member of a team is essential. • Superior interpersonal, oral and written communication skills.
