Under the general supervision of the Director of Finance, the incumbent independently maintains financial control over assigned accounts to define the objective; identifies relevant factor or concerns, and formulates logical and objective conclusions to determine the course of action to successfully manage assigned accounts. Evaluates the current workflow of procedures, recommends effective business processes, and develops internal policies and procedures in accordance with university policies and procedures.

The incumbent has responsibility for the budgetary and financial functions to support instruction, research, and administration operations within the School. This position will be responsible for coordinating efforts across all academic departments in the School and various central units on campus.

The incumbent is independently responsible for tracking course material & services fee (CMSF), preparing annual reports, and coordinating CMSF requests submitted to ensure that they follow the CMSF policy. The incumbent also provides contracts & grants data and overhead reports for the Associate Dean for Research as well as provides administrative support for the Faculty Research & Travel Committee.

 

Salary: Annual $46,400 - $60,552

Work Schedule: 8-5, M-F

Job Essential Function 1
Percent of Time: 40%
 
Responsible for budget planning and financial management including development of budget and financial review processes for assigned accounts such as: Instructional Support, Student Affairs, and External Relations & Communications.
Oversees the review of financial transactions for appropriateness and proper justification to meet restrictions of funding sources; ensures expenses are in compliance with campus objectives regarding audits and disallowances.
Responsible for monthly reporting of the administration of operating funds for units assigned.
 
Job Essential Function 2
Percent of Time: 40%
 
Independently reconciles monthly general ledgers and prepares financial journals and transfer of funds to make necessary adjustments. Monitors expenditures, analyzes revenue and expense trend, projects year-end balances of all funds, and advises managers.
Responsible for coordinating efforts across the academic departments and various central units on campus for faculty set-up funds, overhead allocation, Faculty Desk Top Initiative, bridge funding, faculty research and travel awards, and the School''s commitments.
Participates in the annual fiscal closing activities for all assigned accounts to ensure the accounts are solvent. Assists in audit activities conducted by the University or federal agencies and develops plans to facilitate audit.
Back up for contracts and grants proposals review under Kuali Coeus to ensure proposal submitted are accurately completed, budget is consistent with agency guidelines and cost sharing and/or matching fund commitments set forth in the proposal can be met.  Back up for monthly recharge upload.

Percent of Time: 10%
 
Performs purchasing function for administrative units in the Dean''s Office in accordance with University policies.   Independently places low value orders and works with Central Purchasing to place high value orders for the departments.
 
Interacts with Central Purchasing and Risk Management when necessary to ensure departments  orders and needs are appropriately facilitated.

Provides assistance on special projects as assigned.  Identifies problems and alternative solutions for all areas of responsibility related to special projects, conducting analysis, making recommendations, and implementing new procedures.

Required:
Skill in analyzing information, problems, situations, practices and procedures.
 
Demonstrated skill in complex financial analyses, projection, preparation and administration for a multi-million dollar budget with multiple fund sources.

Demonstrated strong interpersonal skills to interact effectively with campus administrators, faculty, and staff from a variety of ethnic, social and educational backgrounds. Ability to establish and maintain cooperative working relationships with other campus departments and central administrative offices.
 
Excellent verbal and written communication skills.
 
Working knowledge and application of fundamental concepts, practices and procedures of accounting and finance in the University environment.
 
Demonstrated computer skills using database, spreadsheet, and word programs.
