New York Institute of Technology seeks a part-time Registration Assistant. The Registration Assistant will manage the document imaging (Web Now) processes for the registrar's office at the Old Westbury campus. This includes collecting and organizing all paper documents received daily, prioritizing them for scanning, assigning the appropriate identification codes to each record and performing quality control before having the original records destroyed. Assist with updating student records in the SIS and customer service functions. Key responsibilities and accountabilities: • Develop and maintain system for filing paper documents received at the Old Westbury registrar’s office. It is imperative that all forms be assigned the correct identifiers so that retrieval is possible after the original documents are destroyed. Quality control is emphasized. • Forms are organized and stored in a designated file cabinet which is locked after business hours. Access to this cabinet is limited to registrar personnel. The order in which forms are scanned is determined by the needs of the office. • Assist with all functions in the registrar’s office. This includes providing customer services, answering telephones, providing information about policies and procedures to the community, training faculty to use web services and participate in Datatel testing when required. • Assure that the release of student data and information complies with FERPA and safeguard all forms, documents and information. This includes locking computers and cabinets when not in use. • Participate as a member of the registrar’s Datatel testing team. Participation requires attendance when updates and patches must be tested before being loaded into the production database. Testing responsibilities will focus on your area of experience; however, all members should be able to test the screens and functions utilized by the registrar. Bachelor's degree required. Exemplary customer service, friendly demeanor and professionalism exhibited at all times. The successful candidate will be highly organized and able to work independently with minimal supervision. Familiarity with PeopleSoft (or other relational database/student information system) and ImageNow or other document-imaging software. Proficiency with Microsoft Office products.
