Job Summary

Under direction of the Ayala Science Library Circulation On-Site Coordinator, coordinates the electronic billing operation for the UCI Libraries. Responsible for opening the Ayala Science Library. Responsible for the overall service maintenance of the printers, copiers, microfilm units, scanners, and vendor equipment in the UCI Libraries. Works at the Ayala Science Library Check Out Desk daily.

 

Salary: Hourly $20.00

Work Schedule: 8-5, M-F

Career Position.

Schedule is dependent on the Libraries building hours. Hours are subject to change whenever building hours change and during intersessions and summer sessions. Will be required to work extended hours during pre-finals and finals. May be scheduled to work on holidays in rotation with others. May be scheduled to work in the evenings or weekend during staff shortages as needed.

Final candidate subject to background check.

Job Essential Function 1

ACCESS SERVICES
 
BILLING OPERATION
 
Oversees workflow and establishes priorities to process new bills.
 
Reviews the computer-generated lists of items ready for billing.  Makes necessary adjustments to online item records, to ensure that billing will be accurate.
 
Handles all financial reporting sent from UCI Cashier's Office, and keeps billing information on the Libraries  online system consistent with campus financial records.
 
Acts as a liaison with campus officers outside the Libraries concerning the status of billing, and explains the Libraries billing procedures.  In addition, acts as a departmental resource person to make suggestions on improvements in the billing process.
 
Runs the Bursar In/Bursar Out program.
 
Creates and updates billing procedures making sure they are posted on departmental wiki.
 
COPY SERVICES OPERATIONS
 
Assist in training student employees how to effectively troubleshoot equipment malfunctions and assist users with copy/print difficulties with a strong emphasis on quality customer service.
 
Responsible for overseeing the inventory and maintenance of supplies for all equipment at all locations.

Compile usage readings and other needed data from equipment and maintains documentation.
 
EQUIPMENT MAINTENANCE
 
Maintain and trouble shoot Copy Services equipment by performing initial in-house repairs, overseeing equipment vendor maintenance and repairs, and replacing supplies.
 
Perform rounds to proactively identify and quickly resolve equipment problems.
 
Check workticket system at least three times daily and respond to worktickets according to the Copy Services Workticket priorities.
 

CIRCULATION TEAM MEMBER
 
Works collaboratively with all members of the Ayala Science Library Circulation Team.
 
Participates in team activities to review unit operations and special projects; and recommend and implement changes in policies and procedures as needed.
 
Responsible for interpreting Check Out Desk and Reserves policies for patrons and following established policies and procedures.
 
Responsible for resolving problems and responds to requests for exceptions to established policies and refers to the Circulation On-Site Coordinator when appropriate.
 
Provides general, holdings, and directional information to users regarding the UCI Libraries and the campus and records these statistics accordingly.
 
Works a minimum of 2 hours per day at the Ayala Science Library Check Out Desk, performing all regular staff functions including checkout of materials, checkin and proper routing, placing renewals and holds, accepting searches, issuing and updating library cards, assisting patrons with billing questions and collecting fines under $10 and payment for library cards.
 
Responsible, while on duty, for overseeing student assistants.
 
Maintains Hold Shelf.
 
Responsible for maintaining ASL building hours on public web site.
 
Monitors and orders supplies as needed.
 
Responsible for opening Ayala Science Library
 
Checks circulation email accounts answering and referring patron inquiries as needed.
 
ACCESS SERVICES BACKUP DUTIES
 
Serves as backup performing the same duties for Langson Library Check Out Desk and the Multimedia Resources Center when needed.
Serves as backup performing lending and borrowing activities for Interlibrary Loan/Document Delivery Service when needed.
 
OTHER DUTIES

Ability to apply and adhere to library policies and explain them to patrons.
 
Demonstrated record of punctuality and regular work attendance.
 
Working knowledge of office productivity software (e.g. Microsoft Office).
 
Working knowledge of circulation systems.
 
Skill to perceive the need for and initiate procedural changes.
 
Skill to understand equipment manuals, perform operations, and complete or direct minor repairs as needed.
 
Desired:
Experience repairing and/or maintaining copiers and printers.
 
General knowledge of UCI campus departments and their services.
